Administrative Assistant

Provides a wide variety of administrative duties supporting one or more departments. Responsibilities include clerical, routine secretarial, and administrative processes. Displays and practices a work-style that reflects the mission, vision and values of the department and hospital. Position may require travel between various Hoag locations and its affiliates. Projects an image of professionalism in communication, appearance and conduct.

 

Senior Administrative Assistant

In addition to the above, the Senior Administrative Assistant is an advanced level office administrator that performs administrative and office support activities for Senior Management Level. Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects. Extensive confidentiality and software skills are required, as well as and strong communication skills are required.

 

Administrative Assistant

  • Adheres to departmental and hospital practices and policies.
  • Maintains strict confidentially and trust.
  • Maintains informed communication by utilizing all forms of technology including email, the intranet, posted communication, etc.
  • Uses only equipment in which competency has been achieved
  • Is consistently attentive to customers and gives prompt, courteous service.  Responds appropriately to inquiries and complaints from customers.

  • Processes memorandums, reports and financial spread sheets, filing, faxing and working with a variety of software systems
  • Performs secretarial correspondence, memorandums, reports and financial spread sheets
  • Inputs data, compiles statistics and assists and orders supplies

    Senior Administrative Assistant

    In addition to the above, the Senior Administrative Assistant is responsible for:

  • Coordinates work flow of department and senior management:
  • Maintain procedures manual to ensure consistent performance of routines
  • Manage Communication: Compose correspondence/reports for own or manager's/director’s signature, research, draft or abstract reports
  • Manage Appointments/Meetings: Maintain calendar; ascertain which events require manager/director presence, Fix commitments to maximize director’s time efficiency, Allow decision, travel, preparation time and desk time
  • Confidentiality: Assure discreet confidential handling of all business and personnel issues,
  • Data Management: Maintains all document files including logs, databases
  • Project Administrative Management: Handle administrative detail, all projects, Seek greater role in projects within administrative and other areas of competence, Seek training on projects outside range
  • Supervision and Training: As required, recruit, hire, train and supervise clerical staff as assigned

 

 

Administrative Assistant

Education, Training and Experience

Required: High school graduate with experience performing administrative duties.

Preferred: Two years experience in mid-size to large size healthcare organization

 

 

 

Senior Administrative Assistant

Education, Training and Experience

Required: A minimum of two years experience in an administrative capacity in a mid-size to large organization.

Preferred: Bachelor’s degree or equivalent experience. Healthcare experience.

 

Skills or Other Qualifications

Required: Knowledge of Microsoft Office Suite, including Word, Excel, and Outlook. Demonstrate proficiency in typing, writing, grammar, punctuation, and oral communication. Excellent customer service skills.  Ability to prioritize, organize, coordinate projects, meet deadlines, and follow up on assignments with minimum direction

 

 

License and Certifications

Required: Current CA driver’s license required for local travel
