JOB SUMMARY

Supervises staff responsible for coordinating the business operation activities of an assigned department. Solves complex business problems, enhances operations, and identifies opportunities to improve the department. Promotes a lean work culture, including continually seeking work process improvements.

This position will support several departments including Egleston based Pulmonology & Cystic Fibrosis, Egleston based Sleep, Allergy/Immunology, Apnea, Aerodigestive.

EDUCATION

  • High school diploma or equivalent and Associate’s degree in Business Administration or related field or equivalent work experience

CERTIFICATION SUMMARY

  • No professional certifications required

EXPERIENCE*

  • 4 years of experience in administrative/secretarial or business operations

PREFERRED QUALIFICATIONS*

  • Bachelor’s degree in Business or related field
  • Experience in healthcare
  • Knowledge of medical terminology (for some areas)
  • Experience in budget/financial reporting

JOB RESPONSIBILITIES*

  1. Supervises administrative support staff to achieve effective and efficient services.
  2. Participates actively in the interview process, training, performance appraisals, and may provide disciplinary actions up to and including termination.
  3. Manages operational activities of assigned office, department, or business project, including supply maintenance, facilities management requests, networking with other departments and vendors as appropriate, and other office needs as they arise.
  4. Handles basic payroll or timekeeping activities, other record-keeping, human resources paperwork, organizational charts, and other business documents.
  5. Manages the performance improvement process for the office/department. 
  6. Handles assigned financial operations of assigned office, department, or business project.
  7. May handle day-to-day oversight for scheduling, registration, and support of clinical teams, assisting with reconciliation of any recommended charge changes as requested from Patient Financial Services and other medical personnel and serving as a liaison between patients/families and department staff by offering assistance/other services families may require and relaying messages to clinical staff.
  8. May serve on special projects/committees or act as department representative as necessary.
  9. Manage the day to day operations of the staff, including but not limited to: work assignments, task management, time tracking/management, and on-the-job training.
  10. Take an active role in coaching and mentoring the team to ensure continued employee growth and success both on the team and at the broader CHOA organization.
  11. Assist manager with employee performance evaluations and hiring decisions.

 

SYSTEM RESPONSIBILITIES*

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

 

Compliance: Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
