Administrative Assistant

Scope of Position:

  • Provide thorough administrative support to senior leadership of Advanced Modeling and Analysis within MTE.
  • Support to be provided in a timely, efficient, and quality manner.

Day to Day Responsibilities:

  • Work effectively as an individual and team player.
  • Create accurate meeting agendas.
  • Coordinate complex travel itinerary’s including scheduling, preparing itinerary’s and agendas, trip files, and preparing supplies.
  • Maintain calendars accurately.
  • Assist with acquiring appropriate travel documentation including visa’s, passports, and invite letters.
  • Provide quality and efficient administrative support through answering calls, sorting mail, managing e-mails, and calendar invitations.
  • Establish and maintain directorates electronic files including shared folders and Sharepoint sites.
  • Establish and maintain directorates processes for meetings such as staff meetings, period reports, projects, and financials.
  • Organize director’s time.
  • Ensure efficient support is provided to assist director with meeting all timelines and deadlines.
  • Prepare and create presentations, graphs, and reports.
  • Assist and support director and department with all clerical and general office duties as appropriate.
  • Coordinate, organize, schedule and attend where required department staff meetings.
  • Interface with all levels of the organization.
  • Update organization charts.
  • Create expense reports for director and leadership team in a quality and timely manner.
  • Schedule meeting logistics including meals, transportation, and logistics as appropriate.
  • Coordinate events and activities as needed.
  • Maintain and order office supplies.
  • Stay within department budget considerations
  • Work effectively with other admins within the department and the division to provide optimum support. Provide backup support as needed.

Hours of work/work schedule/flex-time:

  • Monday-Friday 40 hours with overtime as required

Education and Experience

  • AAS degree in business or equivalent work experience.
  • >3 years administrative experience with strong computer skills.
  • Knowledge of MTE (Manufacturing, Technology and Engineering) organization.

  • Rigorous and organized.
  • Able to work the internal network and communicate effectively verbally and in writing.
