Under the direction of the Libraries' Building Facilities Coordinator, the individual is responsible for aiding in the maintenance of equipment, furnishings, and building systems for the University of Miami Libraries. Moreover, the incumbent performs support functions in assigned areas to maintain an attractive, safe, secure, and functional condition of assigned facilities.

This regular, full-time position works normal business hours, Monday through Friday, 8:30 am to 5:00pm, but subject to change as needed by the department.



* Performs daily runs to University post office using Library van.
* Accepts, sorts, and logs incoming mail in Excel and delivers to departments.
* Arranges and uploads mail logs in shared folders.
* Keeps track of important upcoming deliveries or drop-offs.
* Assists with deliveries to off-site storage and other UM Libraries using library van.
* Preps loading dock area for freight deliveries.
* Monitors loading dock for parking and facilities issues.
* Oversees mailroom student assistants with daily tasks.
* Contacts different vendors in case of lost or damaged packages.
* Ensures there is always someone present in the mailroom to receive deliveries.


* Creates and follows up on work orders for all UM libraries as needed.
* Monitors and patrols building and grounds daily (including stacks and study rooms).
* Discovers, reports, and corrects building facilities problems through the proper channels.
* Greets and directs vendors while ensuring proper procedure is followed.
* Relays important messages from vendors or Facilities staff that call or visit the mailroom.
* Helps oversee work done in Special Collections and/or other alarmed spaces.
* Assists Events team with event set up/reset when needed.
* Maintains a comprehensive inventory of in-house and off-site archived documents.
* Reacts quickly to building emergencies.
* Reports security risks or concerns immediately.
* Screens and maintains equipment inventory and generates routine reports of needs.
* Assists operational areas and staff in answering policy and operational questions.
* Produces daily reports of tasks performed and issues encountered.
* Assists in short and/or long-term Facilities projects.
* Adheres to University and unit-level policies and procedures and safeguards University assets.

Communications, Relationships, and Service (ongoing)

* Maintains helpful and supportive customer service behavior with all library customers internal and external.
* In pursuit of the Libraries' and University's strategic objectives, models the University's "DIRECCT" values (diversity, integrity, responsibility, excellence, compassion, creativity, and teamwork).
* Establishes effective and supportive interdepartmental relationships and participates in cross training opportunities to increase library and unit effectiveness and to effectively disseminate information.
* Communicates frequently and effectively with all University staff, faculty, and administrators in a timely manner regarding procedures, policies, and other necessary information.
* When possible, participates in committees and teams within and outside the Libraries to provide services to the Libraries, University, and the Community.

This individual assists in the supervision of Library Facilities student assistants in the absence of the Facilities Manager.


The individual works with all levels of University and Library staff including faculty, administrators, staff, and students as well as alumni and community users. Within the library, this individual works with all levels of library faculty and staff as well as student employees. In all contacts, the incumbent is expected to be professional and courteous.

QUALIFICATIONS (Education, Experience, Skills, Training, etc.)

* High School graduate
* Minimum of 1 year of relevant work experience OR 1 year of college OR a combination of both
* Ability to accurately prepare and maintain records, files, reports, and correspondence.
* Experience using MS Office Suites, including Excel, Word and Outlook.
* Comfortable scheduling Zoom meetings.
* Excellent organizational skills; Analytic and critical thinking skills
* Aptitude for accuracy and detail
* Ability to work cooperatively and productively with others
* Ability to work independently and in a collaborative environment
* Good oral and written English language communication skills
* Working knowledge of Spanish
* Must have valid driver's license and acceptable driving record
* Must be able to work with fragile materials that may produce moderate dust environment, lift 30 pounds, push 50+ pounds, and reach while on a stool.
