To render a secretarial support service to Senior Manager(s)12-month contractRequirementsGrade 12 with Typing as a subject or any other Training course/Qualification that will enable the person to perform the work satisfactorilyLanguage skills and the ability to communicate well with people at different levels and from different backgroundsGood Telephone etiquetteComputer literacySound Organizational skillsGood people skillsHigh level of reliabilityBasic written communication skillsAbility to act with tact and discretionGood grooming and presentationKey responsibilities:Provides a secretarial/receptionist support service to the Manager:Receives telephone calls in an environment where, in addition to the calls for the Senior Manager, discretion is required to decide to whom the call should be forwarded. In the process the job incumbent should finalize some requirementsRecords appointments and events in the Diary of the ManagerTypes documents for the Manager and other Staff within the Unit on a Word ProcessorProvides a clerical support service to the Manager:Liaises with Travel Agencies to make travel arrangements. Checks the arrangements when the relevant documents are receivedArranges Meetings and Events for the Manager and the Staff in the Unit. Identifies Venues, Invites Role Players, Organises Refreshments and sets up Schedules for Meetings and EventsProcesses the Travel and Subsistence Claims for the UnitProcesses all Invoices that emanate from the activities of the work of the ManagerRecords basic Minutes of the Meeting of the Manager where requiredDrafts routine Correspondence and ReportsDoes Filing of documents for the Manager and the Unit where requiredAdministers matters like the Leave Registers and Telephone accountsReceives, records and distributes all Incoming and Outgoing documentsHandles the procurement of standard items like Stationery, Refreshments etc.Collects all relevant documents to enable the Manager to prepare for MeetingsRemains up to date with regard to prescripts/policies and procedures applicable to her/his work terrain to ensure efficient and effective support to the Manager:Studies the relevant Public Service and Departmental prescripts/policies and other documents to ensure that the application thereof is understood properlyRemains abreast with the procedures and processes that apply in the office of the Manager
