The Role

We are seeking a full time Administrator at our Hastings contract to be part of the integrated facility management team reporting to the Contract Manager. This is a unique opportunity to join this team working with this important client based at Mornington Peninsula.

Your responsibilities will include, but not be limited to:

  • Receipt of incoming calls
  • Receive request for purchase orders, issue and update the purchase order in our systems
  • Perform all branch administration functions
  • Invoice processing and client portal uploads
  • Allocate service calls to the Facilities Technician or the appropriate sub-contractor
  • Ensure all KPI deadlines are meet
  • Input of data into WMS/ SAP
  • Planned preventative maintenance administration
  • Manage sub-contractor workload and invoicing
  • Timesheet collection and data entry

    Skills and Experience

    With such a challenging role, you will come to us with:

  • 4 years + Administrative experience 
  • Proven ability to priorities tasks to ensure all key tasks are performed in a timely and efficient manner
  • Previous experience with property and/or facilities management computer database
  • Sound knowledge of computer systems and Microsoft applications 
  • Mid-level understanding of accounting, finance
  • Good standard of oral communication and interpersonal skills
  • Proven ability to establish and maintain an effective relationships with internal and external stakeholders
  • Self starter with the ability to run with tasks
  • Please note: As a pre-requisite for this role, candidates will be required to undertake a National Police Clearance.
