The position reports to the Head of CSR & Philanthropy and President of the SMBC Global Foundation and is responsible for fiscal oversight, budget development and management, vendor and project management, nonprofit oversight, audit and controls, and general governance and operations for both CSR & Philanthropy department plus the SMBC Global Foundation. The CSR & FOundation Operations and Business Lead helps ensures an effective, integrated, and compliant operation, along with supporting the programmatic development of the Foundation. The ideal candidate will have experience in the nonprofit sector including familiarity with nonprofit financial statements, due diligence protocols and governance. In addition, the qualified candidate must bring strong vendor management, project management and oversight, and financial controls expertise to the team, and possess strong technical skills, including expertise with databases and translating business needs into technical requirements.


Departmental duties

* Coordinate annual budget process and monitor and project budget throughout the year
* Support the handling of Executive/Corporate Sponsorships
* Support infrastructure build (including vendor selection) for systems to: 1) enlist, track, and report on employee engagement inclusive of volunteering; 2) improvements to employee giving platform(s), 3) and Foundation giving
* Develop, produce reporting needed for Sustainability plus proactively identify opportunities to report work both internally and externally
* Track how department is doing against strategic plans and annual goals
* Assess, develop, and coordinate a process to oversee charitable donations made by business units (Corporate Contributions)

Foundation duties

Governance, Finance, Operations

* Responsibility for all Budget, Finance, Accounting (including annual audit), and Tax (including annual tax return) needs of the Foundation
* Coordinate decision making on usage of endowment including the forecasting cash needs under various giving scenarios
* Assist in the preparation of meeting and committee agendas; board minutes, policies, procedures and best practices (board member expectations, terms, elections); dockets for grant requests
* Ensure systems in place to track payment history, KPI's, reporting requirements, etc.


* Support the build out of the Foundation's grantmaking strategy including KPI's, form of proposal(s); award letters; reporting requirements; grant agreements/MOU's
* Support the President in grantee process: partner selection, relationship management including due diligence, analysis, site visits, etc.
* Ensure employee matching program is operationally excellent and develop new ideas as to program's growth and improvement, including vendor assessment
* Main coordinator of disaster relief response including partner identification, employee matching format


* Key person for payments, bank relationships, and external vendors
* Actively work with areas of the company to ensure department is in compliance with all policies and agreed upon controls, is up to date on impending changes - systems and otherwise - and is meting all deadlines.
* Navigate all corporate areas to obtain support as needed (space management, record retention, data governance)


* At least ten years' experience in corporate philanthropy, including extensive experience with private foundations including knowledge of governance, finance, accounting, and taxes. Plus experience with endowments.
* Grantmaking skills including program design and development, due diligence, outcome assessment, and international (outside of the US) giving
* Experience in crafting and executing employee giving and disaster relief campaigns
* Experience in employee engagement programming
* Proven vendor management skills
* Incredible attention to detail; ability to work within complex, multi-stakeholder setting
* Ability to prioritize and handle multiple tasks while seeing the "big picture"
* Excellent communicator who can convey business needs across an array of topics including legal, banking, accounting, tax; and strong ability to synthesize information for frequent executive audiences
* Experience working at the highest levels of an organization including C-suite executives and Board Members
* Advanced PowerPoint, Excel, and Tableau/Power Bi skills
