DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

The City of Houston's Housing and Community Development Department (HCDD) seeks to create a city in which every resident has an affordable home in a community where they can thrive. Partnering with non-profit, governmental, and local entities, HCDD strives to strengthen Houston's neighborhoods, provide true housing choice and execute the Mayor's vision for One Houston with complete communities throughout. Since Hurricane Harvey, HCDD is managing more than one billion dollars dedicated to helping low and moderate-income families recover.

To achieve this vision, HCDD is seeking an Administrative Associateto join its team. In this position, you will perform complex clerical and administrative support duties including organizing and maintaining record keeping systems and preparing simple reports. Additionally, you will perform in the capacity of a messenger/ transportation/fleet operator that will be responsible for the Department's delivery and transportation services and has oversight of the Department's fleet.

Work requires judgment in the selection and interpretation of data and a thorough knowledge of department and city policy and procedures dealing with area of responsibility. You may also perform certain professional administrative tasks essential to the healthy, safe and continued operations of the Department, including organizing, updating and maintaining the Department's safety and emergency functions, activities and documents. You will assist with preparation of reports used by the Department's Executive Staff, and prepare policies and procedures used throughout the Department.

Key Responsibilities

* Operates motor vehicle and drives throughout the Houston and surrounding areas to pick up and/or deliver documents
* Organizes, tracks, and maintains various confidential documents
* Communicates with internal staff and external customers to obtain required documentation
* Ensures good maintenance and proper working order of department's fleet
* Creates and maintains accurate and current records-keeping systems of various areas throughout the facility
* Provides hands-on service to all areas of Department with setups for meetings, conferences, events, etc.
* Compiles data for use in a variety of reports, surveys, inventories, and studies
* Composes, edits and prepares correspondence, reports, directives, etc.
* Maintains, prepares, revises and disseminates department rules, regulations, policies, procedures and other pertinent reference information
* Assists in planning and implementing department sponsored activities and programs

This is a grant funded position subject to cancellation when funds are depleted and/or contract period ends.

WORKING CONDITIONS

There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature, and air conditions.

MINIMUM REQUIREMENTS

MINIMUM EDUCATIONAL REQUIREMENTS

Bachelor's degree in Business Administration, Liberal Arts or other related field.

MINIMUM EXPERIENCE REQUIREMENTS

No experience is required.

Professional experience may be substituted for education requirement on a year-for-year basis.

MINIMUM LICENSE REQUIREMENTS

Valid driver's license.

PREFERENCES

* One year office assistance and/or runner experience preferred
* Previous delivery and pick-up driving experience a plus.
* Proficiency in mobile technology.
* Ability to communicate spoken information into written form.
* Previous safety and emergency operations experience a plus.

Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
