Job Description

The Broad Institute of MIT & Harvard is seeking an energetic and pro-active Administrative Assistant to support the Infectious Disease and Microbiome Program (IDMP) and Hung Lab. The IDM Program is comprised of several labs and collaborations throughout the Broad and the Harvard/MIT community. It brings together scientists from a variety of fields to better understand infectious diseases, antibiotic resistance, and the human microbiome.

As the Co-Director of the IDM program and a Core Faculty Member at the Broad Institute, Dr. Deborah Hung's lab focuses on identifying new therapeutics to combat several devasting diseases, including Klebsiella pneumoniae, Pseudomonas aeruginosa, and Mycobacterium tuberculosis. She holds positions as an infectious disease and critical care physician at Brigham and Women's Hospital, as well as academic appointments at Harvard Medical School and Massachusetts General Hospital (MGH). Dr. Hung's lab, comprised of ~35 members, is divided among the Broad Institute and MGH, and this position will provide the opportunity to be involved with both institutions and engage with individuals on all scientific and professional levels. We are looking for someone to become an integrated and engaged member of the team.

Under limited supervision, this administrative assistant will perform diverse duties while providing comprehensive administrative support to the Hung Lab and IDM Program. They will anticipate and initiate actions regarding office operations, which require knowledge of the Institute. They will provide professional representation to internal and external community and maintain confidentiality regarding all matters and materials.


* Manage logistics for the IDM Program meetings, including internal and external speaker organization and scheduling, coordinating travel and building schedules for external speakers, travel and expense reporting, catering, weekly meeting set-up, publicity, group social events, etc.

* Provide direct administrative support for the Hung Lab which may include maintaining lab personnel records, meetings/event coordination, interview scheduling, on-boarding new members and setting up appointments, and other duties as assigned

* Create and maintain lab website

* Manage and coordinate travel arrangements and expense reports for Dr. Hung

* Oversee scheduling, catering, AV set-up, and room set-up for collaboration meetings

* Provide backup administrative coverage for the program's Core Members when other administrative assistants are out of office

* Other responsibilities as assigned


* Bachelor's degree or equivalent with 1-2 years of progressive experience in a service role

* Experience in a research setting preferred

* Demonstrated success working in a highly collaborative and complex environment

* Strong communication skills, both verbal and written; strong interpersonal skills, including the demonstrated ability to influence others and to build working relationships

* Strong customer service skills and excellent problem-solving skills

* Strong organizational skills and attention to detail with excellent follow through

* Ability to multitask and prioritize

* Strong computer skills with knowledge of Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new software and technology
