About the Role

We are looking for an on-site Office Manager to support a highly visible Contact Center. The ideal candidate is willing to go the extra mile to ensure all tasks/ requests are completed in a timely manner. Must be able to manage multiple and changing priorities in a fast-paced environment.

What You will Do Day-to-day

* Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
* Provide event planning assistance for any office event, to include additional i2c sites.
* Project Coordination for the VP of Global Operations.
* Manage all office maintenance to include security, janitorial services, pest control, lawn and snow maintenance, vending machine equipment, HVAC equipment up to date, parking lot and all necessary building maintenance in a timely manner.
* Work closely with i2c's procurement department to oversee all vendors for the maintenance of the building and equipment and keeping a good repour with each.
* Work with procurement on pricing structures for office supplies and postage for monthly statements.
* Problem solve any technical challenges with computer systems, email and networks as needed. Also, work closely with Procurement and IT departments to ensure all office equipment is inventoried and in working condition.
* Liaise with various internal and external parties, exercises sound judgment and discretion in dealing with highly confidential/sensitive business and personal matters.
* Handle large variety of details and work under pressure across all levels of organization.
* Coordinate mail courier service for monthly statement pickups.
* Oversee all daily office functions ensuring the organization and staff have a satisfying work environment.
* Manage office supplies inventory and working with each vendor for better pricing.
* Perform receptionist duties: greet visitors, receiving all UPS/FedEx/USPS deliveries.
* Develop office policies and procedures, and ensure they are implemented appropriately.
* Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
* Manage office budget.
* Serve as the point of contact for Technical Assistant Center and remote hands to help with necessary daily tasks needed.
* Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
* Responsible for monthly statements for all clients within a 4-day Service Level Agreement. To include all equipment maintenance as well as future planning of statement processing.
* Keep the office running smoothly and Client / Executive ready for unexpected visits. All areas to include, but not limited to print room, management suite, all conference rooms must be in a neat, clutter free, working organized state always.

About you:

* Minimum Education: Associate's degree in Business Administration, IT or related field.
* Required Experience: 2 -5 years of work experience in an administrative/office management role
* Computer proficiency required including spreadsheets and word processing.
* Must have exceptional attention to detail.
* Strong organizational, time management and leadership skills, ability to prioritize.
* Adaptable, flexible problem-solver.
* Ability to keep all confidential information private.
* Excellent written and verbal communication skills are essential.
