Position Title: Head of Hard Services

Location: Celbridge, County Kildare

Reporting to: Account Director

Main Duties and Responsibilities

This role is based at a Laboratory Campus and will include the following:
Lead a team of maintenance, project and biosecurity managers to deliver on Apleona’scontractual obligations.
To work as part of a team and on your own initiative reporting directly to the AccountManager. 
To develop and utilise the Campus CAFM / Helpdesk Software System for thecoordination of all maintenance activities in line with client requirements 
To implement and adhere to our quality system for the management of proceduresand site documentation. 
Ensure operational continuity of our client’s buildings and critical infrastructure 
Ensure that all routine maintenance contracts are in place and executed in a timelymanner and in compliance with the FM contract, industry standards and legislation 
Develop a Maintenance and Management Plan (MMP) in line with OPW’s tenderspecification and ensure the Plan is rigidly adhered to. 
Maintain a comprehensive record of maintenance activities, including the annualcalibration / validation and certification of relevant equipment. 
Ensure that all service level agreements are scrutinised to ensure they are fit forpurpose and are refined to ensure cost effectiveness and value for money. 
To ensure that contracts placed are managed as per Apleona’s Terms and Conditions. 
Explore whether services can be effectively delivered in-house or by using Apleona’spreferred suppliers (subject to cost and expertise suitability)
Ensure that all managers fulfil their requirements with respect to Statutory Inspections
Ensure that Apleona’s activity are maintained in as audit-ready status and arrange forperiodic internal audits as necessary.
Engage with clients for the purpose of assisting in, creation of and execution ofmaintenance-based contracts.
Conduct periodic meetings with the various clients on campus to ensure clientsatisfaction or to deal with any non-conformances that might occur.
Oversee the management and delivery of projects on campus
Take sole responsibility for documenting and communicating Accidents or Incidentsthat occur and generating an Incident Report as soon as possible after same.
Provide adequate support to the maintenance managers such that they can performall their duties. 
Ensure, so far as is reasonably practicable, the safety, health and welfare at work ofall employees. 
Promote a positive and respectful atmosphere to the benefit of employees and clientalike.
To consult and work with the site health & safety and bio-safety officers to ensurethat all work is carried out safely.
To liaise with specialist sub-contractors, engineers and with other disciplines to ensurethe efficient operation of the plant / area without disruption to the client.
To adopt an environmentally friendly approach to all aspects of work and areas ofresponsibility. 
To liaise closely with the Client, particularly in relation to the planning and organisationof works that may affect the normal business activities of the site.
Develop (and review quarterly) a suite of Key Performance Indicators (KPI’s) to ensure,by means of the relevant managers, the following;
Employee Training is (90% complete at all times
Compliance with Apleona’s uniform policy
Completion of all SMART reviews
Upkeep of Asset Register & O&M Manuals / As-Fitted Drawings
Upkeep of Maintenance Planner
Proper review and filing of Service Reports ensuring issues reported within areactioned in a timely manner. 
Timely completion of all Work Orders
Delivery of all company toolbox talks (TBT’s) and develop and deliver additionalTBT’s relevant to the site.
Compliance with all Apleona’s policies and proceduresQualifications and Experience
A proven track record in the maintenance of detailed mechanical & electrical buildingservices
Previous experience working in the Pharmaceutical or Laboratory environment isadvantageous.
Previous experience working in the area of Bio-Security and Containment LaboratoryProcedures
Experienced in the use of CAFM/Helpdesk Software Systems
Experience in the implementation of a quality system for the management of proceduresand documentation.
Ability to negotiate contracts and Service Level Agreements to ensure cost-effective andwell-maintained building systems. 
A recognisable engineering qualification or the ability to demonstrate significantexperience.
Experience in the application and operation of Permit to Work systems.
Computer literate, conversant with the major software packages, word processing,spreadsheets etc.
AutoCAD knowledge and experience.
Ability to manage projects from inception to completion, including documentationhandover.
Experience in recruitment of personnel and managing teams.
Ability to train personnel on the buildings’ systems
Person Specification
Good technical knowledge as well as the ability to project manage and multitask. 
Good oral & written communication skills and customer service skills. 
Full driving license.
The successful candidate will be subject to enhanced Garda security vetting and otherbackground checks required by the clients
Ability to cope well under pressure.
Ability to exercise initiative and prioritise duties accordingly. 
Ability to work to a high standard against agreed timescales with limited supervision. 
Ability to develop systems of working that are truly customer focused and to actively seekand respond appropriately to customer feedback.
Have an analytical approach to developing plans based on achievable timescales andsuccessfully balancing a broad range of variables, including contingencies to ensureresults are still achieved. 
Ability to produce solutions which reduce cost and satisfy customers. 
Ability to demonstrate effective communication and negotiation skills
Ability to meet and exceed, where possible, the targets set by management. 
Ability to think logically about issues and problems which arise during day-to-day working. 
To work and plan in a pro-active manner so as to minimize difficulties with the buildings’critical systems.
