- Responsible for coordinating internal compliance review and compliance monitoring activities to ensure that the Property Services Division is in compliance with applicable statutory, regulatory and other procurement policies.
- Assist in the developing and maintaining of reporting processes – internal and external.
- Maintenance and control of event schedules
- Develop and implement systems and processes to establish and maintain records and applicable databases to ensure compliance and enhance compliance reporting
- Show initiative, discretion and good judgement in carrying out of all procurement related duties
- Responsible for the updating and maintenance of the Document/Template library within the Services Division
- Design and manage compliance audit program and provides regular reports on compliance audits.
- Respond promptly to detected compliance issues from compliance audits and compliance monitoring.
- Manages the Gauteng Helpdesk and Property Services Administration function.
- Conduct regular compliance audits and highlight areas of risk.
- Determines, gathers, and analyzes evidentiary information necessary to evaluate the Property Services Division’s compliance.
- Provide support to the process of annual review and updating of the procurement policies, procedures and thresholds, facilitate the approval process and circulate any changes internally
- Provide general financial administrative support to the Financial Division as may be needed from time to time
- Responsible for the effective implementation of all procurement functions and processes providing clear processes that ensure transparency, fairness and traceability
- Manage and report on all BEE criteria
- Maintain an updated and accurate Preferred Supplier database
- Applying ongoing thought as to how to build and enhance the platform framework through creative and practical solutions and value-adds that fit within the B-BBEE codes
- Review and validation of new vendor requests
- Communicate with the suppliers/vendors to source compliance documents
- Develop, implement and maintain strong supplier relationships and evaluations process to measure effective supplier performance and compliance
- Create and Manage SLA’s
- Assist of the tender proposal preparation, requisition documents, specifications and datasheets ensuring compliance with company policy, laws and regulations
- Examine and test existing contracts
- Negotiate to obtain optimum prices from both Suppliers and Contractors at suitable service levels
- Negotiate annual and/or periodic contracts with Suppliers and Contractors applying appropriate and approved terms and conditions of Contracts and Tenders
- Manage timeous support request resolution within SLA with appropriate escalations where needed
- Assist finance on SLA invoices
- Grade 12 (Matric), or technical qualifications related to facilities and Database management
- Minimum of 2 - 4 years’ experience in a technical field, supervisory role and or property field
- A high dependency on IT literacy
- Strong Proficiency in relevant computer packages (MS Office) and software packages
- Prior knowledge of databases/help-desk systems would be an advantage
