Our Port Macquarie client is looking for a well presented and professional Receptionist/Administration Assistant with excellent computer/systems, communication and problem-solving skills. Primary Purpose of the Position

Provide reception and administrative support to a professional team at one of Port Macquarie’s most successful Real Estate Property Management services.

Roles and responsibilities

  • Act as the first point of contact for customers and the general public in a courteous, professional and efficient manner when answering telephone calls and dealing with front office enquiries
  • Provide the Property Management Team with professional administrative support including taking accurate and detailed messages, word processing duties, attending to routine correspondence and following up customer enquiries
  • Handle enquiries in a professional manner and direct them promptly to appropriate team members as required
  • Project a highly professional and ethical profile in accordance with industry and company standards.
  • Maintain familiarity with office listings, including property advertisements, so enquiries can be handled efficiently
  • Assist with general enquiries for rental premises and follow up with the Leasing Officers to ensure that appropriate action is taken promptly
  • Process rental receipts from tenants and ensure that receipts have been handled in accordance with office procedures
  • Collect and distribute the daily mail
  • Collect rent from tenants and issue receipts using trust accounting package
  • Carry out the Trust Account banking daily
  • Word processing of leases, standard letters and correspondence and preparation of reports, as required by the Property Management team
  • Responsible for ordering necessary office supplies and/or equipment
  • Provide assistance in the administration and maintenance of company records
  • Maintain employer/client confidentiality at all times
  • Ensure the front office and reception areas are kept clean and tidy at all times.
  • Participate in key result area and key performance indicator review processes to establish areas for improvement
  • Demonstrate a commitment to satisfying Continuing Professional Development (CPD) requirements and therefore maintain current registration or licence
  • Key attributes and experience

  • Strong administration skills with demonstrated ability to be thorough, systems orientated with meticulous attention to detail
  • Excellent levels of computer literacy and touch-typing skills with ability to use Microsoft Office including Word, Excel, Access and PowerPoint, and industry specific software applications e.g. Console
  • The ability to create a positive, everlasting impression with the most professional, courteous and expedient manner and to continually strive for superior client service
  • Ability to communicate at all levels
  • Enjoys dealing with people daily and is tolerant of challenging clients in a polite but assertive manner
  • Ability to maintain employer/client confidentiality at all times

  •  A current Driver's Licence

  • Previous experience in a reception/front office related role
  • Certificate of Registration or Real Estate Licence (or be working towards attainment)
  • Experience in the real estate industry
  • A typing speed of 50-60 words per minute with 90% accuracy
  •  Willingness to undertake further specific skills training
