Description


Provide high quality and professional support to the Deputy Director has access to a dedicated, effective and efficient personal assistance, executive secretarial and administrative services at all times ●Diary Commitments: Manage the diary commitments of the Deputy Director so that the Deputy Director is aware of all booked engagements and commitments on daily basis ●Meetings, Appointments, Events and Functions: Plan, arrange, organize and coordinate appointments, meetings, events, functions and other engagements, as and when reasonably required by the Deputy Director and prepare documentation for meetings to ensure that the Deputy Director fulfils his/her mandates and duties ●Incoming and Outgoing Correspondences: Sort and route incoming and outgoing correspondence and mail of the Deputy Director so that there is no backlog ●Typing Services: Provide a high quality and accurate typing service to the Deputy Director ●Document Management System: Establish and maintain a reliable, effective and efficient filing, information and documentation retrieval system/management for the Deputy Director within the filing protocol of the Office to ensure that documents are filed timeously and accurately in the Office and that the Deputy Director has access to correct and up-to-date files as and when requested ●Shared Administrative Support: Ensure the provision of a shared administrative support function within the office to ensure a credible, effective and administrative support service is provided to staff at all times ●Office Management Services: Provide office management services to ensure that the Office of the Deputy Director has all necessary office policies, procedures, processes and systems in place ●Research: Carry out research tasks and prepare specialist documents for the Deputy Director, so that information is available on request ●Contact List and Database Maintenance: Ensure the development and maintenance of a management team contact list and database for all contacts for the Deputy Director to ensure that the contact list and database are up-to-date and readily available ●Ad-hoc Duties: May be required to perform various ad-hoc duties delegated by the Deputy Director: Training and Communications.


Job Requirements: 


Degree / National Diploma in Office Management / Office Administration or equivalent coupled with at least a minimum of three (4) years’ experience as an Executive Secretary or Personal Assistant (PA) to a Senior Manager is required● Driver’s license ● Advanced computer literacy in MS Office packages i.e. Word, Excel, PowerPoint, Outlook and Access, as well as incredible skills in using the internet •Excellent typing skills, at typing speed of sixty (60) words per minute. Recognition of Prior Learning (RPL) and applicable knowledge and experience on the Job may be considered during the selection process.
