Operations Specialist

The Operations Specialist will support the Medicaid Administrative Claiming (MAC) / Random Moment Time Study (RMTS) Operations Team within the School-Based Services (SBS) Center of Excellence (COE).   This position will focus on maintenance of the PCG Claiming System (configs, reminders); Staff Pool List / Calendar/ Shift preparation, collection, and review; RMTS sample preparation, generation, and review; quarterly financial preparation, collection and review; claim calculation, quality assurance, district follow-up and recording district responses when required, data analysis, and other operational support.  



The Operations Specialist can expect to play an active role in a wide range of work assignments around the successful completion of the RMTS and MAC claim functions from start to finish including, but not limited to:

  • Responsible for initiative planning and ongoing client and district relationship management
  • Collaborates with team members, and/or other staff as required in support of initiatives
  • Responsible for acquiring and applying knowledge, best practices (external and internal), methodology, and tools to client organizations.
  • Works within a team to accomplish other duties on projects to meet necessary deadlines.
  • Provide indirect guidance and supervision of team through projects and departmental initiatives.
  • Participate in and/or conduct training for districts
  • Assist with updating and maintaining Standard Operating Procedure documentation
  • Participate in internal meetings; supports note taking of key decisions, action items, and other relevant information
  • Perform user acceptance testing on bug fixes and/or newly released features and software applications
  • Perform other duties as assigned
  • Supports customer service and operations for districts and responds to inquires and questions from colleagues, clients, and districts timely
  • Compile and analyze data throughout the quarter and at the end of the quarter related toKey Performance Indicators (KPIs)

Preferred Experience:

  • Proficiency in MS Office products, including PowerPoint, Excel and Word
  • Research and project management capabilities
  •  Experience using Asana or comparable task management / project management tool

Education:High School diploma or equivalent, Bachelor’s degree preferred

Experience:2+ years similar work experience
