Administrative Coordinator - Clinical Development

Job Description

We are seeking a very experienced Administrative Coordinator to support the Senior Vice President (SVP) of Clinical Development. Kite is a dynamic and fast paced organization where you will provide administrative support the SVP while working collaboratively with the other Development and Leadership Team administrative coordinators to achieve the goals of Kite.

Calendar Management & Scheduling/Planning

  • Proactively maintain daily calendar for the SVP of Clinical Development

  • Manage scheduling changes and resolve scheduling conflicts. Set up meetings, interface with attendees (in-house or externally) and arrange for needed resources (e.g., teleconference, projection, meals)

  • Plan and coordinate meetings and events, including managing event planning and negotiating vendor contacts

  • Liaise with external agencies or organizations to coordinate activities which are important to the function and leader

  • Communicate and coordinate with recruiters, external and internal candidates, hiring managers and interviewing teams

Deliverables

  • Use advanced level software programs such as Excel, Word and PowerPoint, Concur

  • Prepare, format and distribute memos, letters, reports, agendas and PowerPoint presentations

  • Creates organizational charts

  • Gathers, collects, records, tracks and verifies relatively complex data and information from multiple sources

  • Plan and submit international travel instructions to travel agency, complete travel agendas related to lodging, ground transportation, meetings/locations/restaurants

  • Prepare and track expense reports

  • Submit invoices and ensure payment

Professionalism & Interpersonal Skills

  • Understand the goals and objectives of the entire department and contribute to the attainment of those G&O's and independently work to prioritize SVP workload to achieve department goals

  • Interact extensively with physicians and hospitals

  • Prioritize workload involving multiple projects/timelines and independently resolve department planning conflicts based on the goals of the department and company

  • Work collaboratively with other administrative assistants

  • Ensure that all work is completed with a high level of attention to detail and accuracy

Basic Qualifications

Bachelors Degree

OR

Associate Degree and 2+ years of administrative experience

OR

High School Degree and 3+ years of administrative experience

Preferred Qualifications

  • Experience with clinical development process

  • Knowledge of medical and oncology terminology

  • Knowledge and understanding of administrative and office policies and procedures

  • Exceptional professionalism and ability to handle confidential materials

  • Ability to manage multiple projects simultaneously and possess outstanding organizational skills

  • Attention to detail and accuracy

  • Excellent verbal, written, and interpersonal skills

  • Strong Word, Excel, PowerPoint and Outlook skills

  • Experience with EBS or SAP financial management software

  • Good proof-reading and editing skills of technical document

  • Ability to keep the bigger picture in mind and influences workflows accordingly

  • Able to take initiative, think proactively, and mitigate conflict with little guidance

  • Effective negotiation skills
