Assistant General Manager - Operations, Property Mgmt

Duties and Responsibilities
  • Assist Chief Engineer in meeting the assigned criteria within the Compliance Excellence Program and Engineering Audit with the assistance of the Property Administrator. Assures compliance with JLL policies, procedures and standard practices.
  • Works with Chief Engineer to assign duties such as maintenance, repair, or renovation and obtains bids for additional work from outside contractors, pursuant to client and Jones Lang LaSalle guidelines. Capable of managing major construction projects such as lobby renovations, elevator upgrades, faade repairs, etc.
  • Assist in preparing and reviewing financial documents pertaining to all building operations. These include but are not limited to all project or building related expenses. Report to General Manager any variances, concerns and projections needed to sustain building operations.
  • Coordinate the operational aspects of the property in a manner, which protects, maintains and improves the value of the client's assets.
  • Ensure all site management and operations practices are in compliance with JLL and client standards.
  • Manage third-party vendor contracted services as required, including periodic bidding and insurance updates.
  • Monitor performance per scopes of work and contractual agreements.
  • Ideal candidate will have a solid background in Architecture or Engineering and be well versed in reviewing construction drawings.
  • Manages all facets of project management (budget, schedule, procurement, quality & risk) for individual real estate projects including planning, design, construction, occupancy and closeout.
  • Demonstrates capability to read, understand and apply standard to moderately complex documents affecting real estate projects, including but not limited to: agreements/contracts, leases, work letters, project charters, surveys and schedules.
  • Implements project documentation governance aligned with JLL and Client requirements. Ensure project data integrity and documentation is accurate, timely and coordinated.
  • The ability to lead a diverse project team towards working on common objectives.
  • Inspects facilities and equipment to determine extent of service and equipment required. Recommends, justifies, develops and coordinates projects that enhance the value of the office buildings. Assigns vendors to duties such as maintenance, repair, or renovation and obtains bids for additional work from outside contractors pursuant to client and JLL guidelines.
  • Reviews construction specifications and or plans, obtaining advice from the Chief Engineer, Operating Engineers and/or engineering/design consultants. Oversee all preventative maintenance programs. Prioritize day-to-day operations.
  • Able to competitively bid and prepare all service contracts to assure high quality and cost-effective services. Assembles and analyzes contract bids and submits bid recommendations with standard form contract agreement for execution. Participates in group bid process as appropriate.
  • Works with Chief Engineer to assign employees to duties pursuant to client and JLL guidelines.
  • Arranges for alterations to, or maintenance, upkeep, or reconditioning of facilities as specified in the operating budget, management plan and/or management services agreement.
  • Draft contracts within 24-48 hours, conduct follow-up with vendor(s) for return of contract in a timely manner. Pulling together mandated contract package documents for review and submission for approval. Forward and track as needed for communication and compliance.
  • Overseas, communication and manages the tenant move-in/move-out process to minimize disruption to established tenants.
  • Represent JLL in the local and regional business and real estate community in order to promote JLL's reputation and capabilities to prospective tenants and clients.

Requirements
  • Associate or bachelor's degree. A degree in a related field or master's degree is strongly preferred.
  • 5+ years of commercial property or construction management experience including budget preparation/financial reporting, familiarity with building systems, documentation and administration.

Highly Desirable Attributes
  • Must be able to read, analyze, and interpret legal documents (lease documents, claims of lien, etc.), general business periodicals, professional journals, technical procedures, or government regulations.
  • Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors and peers.
  • Ability to define and resolve complex issues and resolve with practical concrete business minded solutions
  • Proficient knowledge of Microsoft Office/Suite, and any other software program or piece of technology identified as standard for Jones Lang LaSalle or requested by the Client.
