Human Resources/Team Member Relations Coordinator

  • Obtain team member related issues via calls, emails, and scans; complete the Human Resources Intake Call Log to determine if a request is a consultation or an investigation

  • Assist with all internal and external HR related inquiries or requests

  • If consultation provide feedback to team member or manger in accordance with Portillo’s policies and procedures

  • Write/type information in a complete manner regarding the consultations/investigations

  • Assess the merits of complaints based on investigation findings and make recommendations that appropriately balance the needs of the affected team members, the company, and any legal compliance considerations

  • Review finding got the investigation with the Team Member Relations Supervisor or Human Resources Business Partner in a timely, well documented manner

  • Follow up as required to obtain investigation information i.e., Team Member Reporting Form, Response Form, Witness Statement, video, or additional supporting documents or reports

  • Responsible in maintaining a fair and equal treatment of all team members and management with regard to all aspects of employment, regardless of any protected characteristics

  • Complete the investigation file and supporting documentation to prepare for Employee Relations Management System (ERMS) entry

  • Facilitate with the Employee Relations Management System (ERMS) and enter consultations and investigation as needed

  • Maintain both hard and digital copies of employees' records

  • Interpret Portillo’s policies and procedures

  • As requested, assist legal counsel with the investigation of and response to administrative charges from local, state, and federal agencies

  • Assists with processing of terminations

  • Assists with the preparation of the performance review process

  • Produce and submit reports on general HR activity

  • Assist and create ad-hoc HR projects

  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions

  • Files documents into appropriate team member files

  • Assists or prepares correspondence as requested

  • Support other assigned functions

  • Maintain the appropriate confidentiality at all times

  • Forward any benefits related issue i.e., FMLA, ADA, LOA, VESSA, or any other type of leave to a benefits representative

  • Provide the Corporate Executive Secretary with building and key card documentation

  • Submits online investigation requests and assists with new-team member background checks

  • Conducts audits of payroll, benefits or other HR programs and recommends corrective action

  • Conduct new hire and re-hire orientation for Managers-In-Training (MIT’s), corporate new hires including Portillo’s Food Service and Portillo’s Home Kitchen, and temporary/Intern team members

  • Process new hire orientation paperwork, review onboarding documents for completeness and accuracy. Forward onto and provide documentation to payroll for processing

  • Other duties as assigned
