Reporting to the Operations Manager the Process and Systems Specialist will be responsible for developing and maintaining documented materials such as process maps, work instructions and training materials for our Operations Support and broader Operations team.
In this role you will coordinate and deliver the onboarding and induction activities and ongoing training activities for all Operations Support team members. In addition, you will develop and maintain training and supporting materials, develop and implement process maps and work instructions for Operations Support, to ensure they are maintained and deployed to the team for future training and change management.
You will also be responsible for the implementation, ongoing development and maintenance of the Consolidated Ticketing System, Zen Desk, for the Operations Support team. You will develop and maintain the routing of tasks for execution to the team, manage reports and KPIs and investigate and action outliers or issues identified either with team member performance or with the system.
Over the next 12 24 months you will also be heavily involved in a project to facilitate the transition of other Teams or Personnel into the Operations Support Team or the realignment of processes or tasks between sites and Operations Support. This will involve documenting work instructions and process maps, updating the consolidated ticketing system to support new tasks and processes, delivering and developing training material and supporting documents and assisting with the transition of tasks and processes from the transitioning team to the next team.
As we continue to transform the way we operate, the Process and Systems Specialist will assist in identifying and be responsible for implementing improvement opportunities that will simplify and streamline our processes, increase alignment and collaboration within our teams and across our business, deliver an unrivalled employee and customer experience, reducing our cost to serve and improving the financial performance of our Operations. It is expected this role will be involved in strategic discussions and initiatives.
Location: WesTrac Corporate Head Office, South Guildford plus branch and site visits will be required as part of the role.
Roster: Monday to Friday, Permanent Full Time
To be successful the following is required:
Demonstrated experience in a similar role
Relevant certificate in Training and Assessment
Relevant experience with document writing instruction manual/work instructions) and process mapping and training and development material and frameworks
Professional level of computer literacy and data entry skills
Well-developed planning, organisational and analytical skills
Effective communication skills including active listening, asking appropriate questions, clarifying the issues and expressing oneself clearly
Attention to detail and accuracy
An understanding of business fundamentals and being able to communicate these effectively
Adaptability including the ability to perform efficiently in different environments and with diverse tasks and people
Stress tolerance and the ability to maintain satisfactory work standards under pressure
Relevant experience in continuous improvement
