Legal PA / Office Coordinator

Boutique UK Litigation specialist law firm is looking to hire a new Legal PA / Office Coordinator on a permanent basis, to support two Partners and to take control of the office administration duties for the growing office. This role is a fantastic opportunity for a Legal PA with a minimum of 4 years experience, looking for a new challenge, which will involve multiple office management duties. The working hours are 9.30am -5.30pm with a salary of up to £42,000 on offer. Additionally, the role will offer a hybrid working pattern, with flexibility for the right person.

Responsibilities for the Legal PA / Office Coordinator will include providing general PA support to the Partners, manage travel arrangements, coordinating internal diaries, email management, booking and preparing meeting rooms and coordinating other logistical arrangements, technical and otherwise, document production including amending and re-formatting complex documents, filing of electronic and hard copy correspondence and documentation, assisting with BD projects such as legal directory submissions, pitch documents and amending fee earner profiles on the website. Office Coordinator duties will include establishing and managing relationships with key office suppliers and services, pre-empting and responding to team requests, and escalating issues as required - services might include (but are not limited to) building & facilities management, security, couriers / post, stationery suppliers, furniture and fixture providers, catering, copying and document production & storage companies, monitoring and maintaining office supplies and inventories, assisting with ad hoc business development activities, including event co-ordination and management, assisting the HR team on HR related tasks, such as assisting with arranging and coordinating candidate interviews, ad hoc visa and immigration assistance, holiday and sickness absence recording and generally assisting in liaising with any organisation or service provider where appropriate, assisting with the new joiner induction process, including preparing office security arrangements, arranging for joiners to be set up on the relevant IT systems and carrying out right to work checks on first days, assisting partners and fee-earners with their expenses and assisting in the billing process including preparing and amending draft bills and working with Finance to ensure they are issued and collected in a timely manner.

Candidates need to have extensive experience as a Legal PA, preferably within a Litigation team, strong Partner level experience, excellent written, communication and organisational skills and the interest in wanting to build and assist in managing a new office with the ability to liaise with third-parties. A salary of up to £42,000 is on offer with benefits.
