This full time twelve month fixed term contract is working from our 990 La Trobe Street office and working from home. As the Executive Coordinator you will be responsible for liaising between the office of the General Manager and other departments within the organisation in the delivery of strategic objectives and ensuring adequate GM oversight of panned outcomes. This will include being a first-point-of-contact for various matters and advising the General Manager of priorities, emerging risks and opportunities.
Your focus will include supporting the GM in day to day operations including diary and email management, coordination of briefing materials, management of correspondence, preparation documents, reports and information management, management of approvals under the GM’s delegated authority and general administration tasks such as invoice processing and travel booking.
The role also coordinates a cross-enterprise Governance Group, providing administrative management and oversight. Within the role you will work closely with the Chair of the Governance Group to ensure all deadlines are met for circulation and distribution of papers including coordination of forward calendars, agendas and taking down/disseminating the minutes. In supporting the General Manager, the role also ensures the group’s contribution to the production of internal Board and Sub-Committee papers are managed within required timeframes, working closely with the Assistant Company Secretary and Group Manager Transformation.
The Executive Coordinator will be required to take up other coordination functions at the direction of the GM while the group is actively moving through a complex Transformation Program. This will include working closely with the Transformation Manager and Direct Report team to ensure alignment of business-as-usual programs.

Your Skills and Experience
Proven experience in building strong relationships and utilising a broad internal and external stakeholder network to better negotiate and influence group and customer outcomes.
Ability to work independently and with confidence in liaising at all levels of the organisation and in the representation of the GM/group’s position on various matters.
Understanding and coordination of change management programs, disseminating communication materials and development of key messages.
Proven problem solving and analytical skills, being proactive in identifying issues, with the ability to adapt as priorities change and to demonstrate leadership when supporting the group on key challenges.
Prior experience in the coordination of governance groups will be highly regarded
Ability to exercise discretion and judgment when dealing with sensitive and confidential information
Your ability to establish and maintain collaborative working relationships with internal and external stakeholders is required together with qualifications in Business or Project Management or a related field.
