Facilities Assistant / Handyperson

To be responsible for the overall building appearance, including the kitchens, restrooms, meeting rooms, mail and general office area. To undertake small installation works, repairs to building fabric, handyman and porter duties. To take responsibility for the onsite Log Books, to include subcontractor management.

1. Understand, anticipate and deliver customer (internal and external) needs while building effective relationships.
2. Positively respond to both our internal and external customers through effective communication and personal accessibility.
3. Providing excellent customer service, by managing client expectations and ensuring information is communicated between the team and customers.
4. Understand procedures and processes and operate them to the required standard, including, but not limited to the following:
a) Ensuring the kitchens are fully stocked with drinks, tea, coffee, fruit etc at all times, especially first thing in the morning.
b) Providing information on what quantities of catering consumables need to be ordered and managing the stock throughout the week.
c) Assisting the Housekeeper by ensuring the kitchens are tidy at all times, to include filling the dishwashers with dirty crockery, glasses and cutlery as well as emptying the bins.
d) Assisting the Housekeeper by ensuring the rest rooms are fully stocked with toilet paper, soap and hand towels at all times.
e) Completing the daily cleaning routine for the coffee machines across the 3 floors, ensuring they are fully stocked with milk and coffee beans and responding to machine faults.
f) Assisting Front of House with the distribution and collection of post, as well as courier processing and restocking of the stationery points.
g) Watering the external plants located on the terraces several times a week throughout the summer months.
h) Tidying the terraces, to include washing down the furniture, sweeping and emptying the ashtrays.
i) Completing meeting room set ups as and when required.
j) Ensuring meeting rooms are looking tidy and reset at all times, including removing any crockery and glasses that have been left behind following a meeting.
k) Carry out any reactive tasks within the agreed service level to include cleaning, plumbing, fabric and porter duties.
l) Complete building inspections, reporting and rectifying any defects and hazards as appropriate.
m) Prepare, review and adhere to Method Statements and Risk Assessments for all tasks carried out to ensure safe working practices.
n) Supervise subcontractors to ensure comply with contractual commitments, and site operating processes.
o) Adhere with the Company A-Z rules and tool box talks.
p) Maintain the onsite Log Books to ensure they are up to date at all times with the necessary documentation.
q) Liaise with subcontractors to ensure that planned maintenance visits are carried out within the service level agreement, as well as arranging ad hoc visits as and when required.
5. Perform with an understanding of business requirements and changes, and ensuring continuous improvement.

7. Convey messages and ideas clearly and openly. Involve people and influence decisions.

Skills / Training
Awareness of Health & Safety obligations in Facilities Management Industry
PDA and computer ability
Plumbing and handyman skills

Experience of working in Corporate and Industrial Facilities Maintenance environment
Reactive and planned maintenance - cleaning, porterage, handyman, plumbing
Experience in maintaining Log books

Must demonstrate a strong sense of customer focus
Excellent verbal, and good basic standard of written, communication skills
Self-motivated and systematic
Results/ task orientated, attention to detail and accuracy
Excellent time management and organisational skills
