Project Manager - Attendance Strategy

Contract initially till 30/12/2022

Scope of Service:
Responsible for developing & leading the Attendance Management strategy across Manufacturing. The role will ensure there are robust systems, policies and procedures in place to monitor and improve performance. The role will work cross functionally with all key stakeholders to introduce new processes and measurements, and coach others on how to improve their management of absence.

Key Deliverables:

Attendance Strategy
  • Responsible for defining and implementing an Attendance Management strategy across Manufacturing
  • Lead continuous improvement activities across Manufacturing & develop ideas for improvements
  • Actively contribute to the development, review and implementation of Attendance policies, procedures and initiatives in line with employment legislation, best practice and business objectives.
  • Responsible for tracking individual cases through the attendance management procedure and identifying viable steps forward and build business cases where applicable.
  • Ownership of all Medium Term / Long Term sickness cases managing them in line with Policy and Procedure.
  • Key link between HR / Manpower Planning around sourcing of replacement colleagues, flexible working requests, protected characteristics, redeployment
  • Using subject matter knowledge & experience, co-ordinate the various stakeholders required to investigate complex attendance issues.
  • Lead business improvement initiatives to address common absence themes using various resources including colleague wellbeing, BeFit, etc.
  • Support all functional absence management meetings to provide key knowledge holder input and monitor risks
Data & Analysis
  • Ongoing management of the Attendance Management strategy through defined & cascaded Key Performance Indicators
  • Responsible for the collation and presentation of data to support functional / cross-functional meetings and forums
  • Proactively identify initiatives using data / themes via reporting and insight from cases / employee relations issues to address concerns
  • Responsible for identifying the need for changes to process based on trends / themes across all areas
  • Manage monthly headcount forecasting in partnership with HR to ensure accurate reporting to the Board
  • Lead the day to day allocation of absence cover between functions, based on daily absence figures
  • Define the cost of Absence across manufacturing and compile data driven reports / KPIs to drive improvement
  • Be an ambassador for digitalisation by driving the simplification of data analytics and reports. Drive people manager engagement / self-service for them to run their own reports when required
Subject Matter Expert
  • Responsible for being the Subject Matter Expert of all Attendance related topics within Manufacturing
  • Maintain knowledge of Attendance Management strategy from researching, benchmarking, attending training workshops/seminars/webinars on the topic.
  • Working cross-functionally, use this knowledge and expertise to input into maintenance reviews of Policies, Processes and Procedures
  • Review current attendance management processes for effectiveness and applicability and the links they contain to current policies and procedures. Use key knowledge to improve and standardise these approaches across manufacturing to ensure consistent management & reporting of attendance.
  • Manage the service contractors contract renewal process for short term absence cover, with Manpower Planning & HR
  • Review and improve current processes relating to all absence reasons i.e. Flexi, TOIL, ATA, Sick, etc.
  • Maintain a good working knowledge of H&S related legislation relevant to the business and build / maintain relationships and credibility with key stakeholders facilitating step change in performance and drive for continuous improvement
Advice & Coaching
  • Responsible for building manager capability in effective attendance management by providing advice, guidance and coaching
  • Produce proactive, innovative, engaging manager communications to upskill the people manager population
  • Assess the competence of the management team for managing attendance and define process for integration of new members. When required, coach / influence the management team to improve their individual performance.
Assessment of Risk
  • Actively scrutinise, coach and develop line manager competency and risk appreciation
  • Ensure compliance of processes, policies and procedures to internal / external standards. Introduce internal absence auditing process to support the adherence to external audit standards.
  • Utilise / Improve current tools in place that can support absence management, i.e. Risk Assessments, Ergonomic Assessments, People Meetings, Holiday Charts, etc.
  • Create, implement and lead a process which provides immediate replacements for planned/unplanned absences across PM/PI.
  • Provide practical input in respect to complex activities
  • Provide advice to managers on how to reduce exposure/risk

Practical & Technical Skills:
  • Competent at reporting, interpreting, understanding and presenting KPIs/data in order to make recommendations to the business
  • Competent working knowledge of Microsoft Office (including Outlook, Word, Excel, PowerPoint)
  • SAP SuccessFactors knowledge is desirable
  • Experience in the practical application of Continuous Improvement tools & techniques.
  • Knowledge of employment law & key legislation in terms of Health & Safety regulations.
  • Good communications skills verbal and written
  • Ability to train/present/communicate technical / complex matters to a diverse range of audiences
  • Ability to work autonomously and determine own work schedule
