What You Will Do as a Executive Administrative Assistant
You will provide administrative/clerical support for workwear executive; including drafting documents, scheduling appointments, and data entry tasks. Have broad knowledge of how the organization works and company policies and procedures. Support the leader to key important business meetings and handles confidential and sensitive information.
How You Will Make a Difference:
*Schedule, guide and manage the key engagements of Workwear Outfitters executive
Receive clients and visitors; maintains good public relations with employees.
Coordinate all meeting logistics including reserving rooms, offsite space, catering, invitations, tracking attendance, group dinners, block hotel rooms, etc. Also, coordinate with outside customers, vendors, consultants and corporate
Will support Mergers and Acquisitions initiatives
Will have direct contact with parent company leaders
Will support the officers of the Workwear Outfitters.
Screens incoming telephone calls, provides assistance, and/or records messages.
Makes flight, hotel, and other travel arrangements domestic and international as well as coordinate use of the company jet.
Manages expenses of Executive
Initiate purchase orders and track blanket purchase ordered as invoices are applied.
Create PowerPoint presentations
Receives, opens, sorts, scans and delivers daily incoming mail.
Drafts letters and responses to handle routine correspondence.
Establishes, organizes and maintains electronic files.
Skills for Success
Bachelor's degree OR equivalent years of experience in a similar industry may be considered in lieu of a degree
Minimum of eight years of related experience preferred
Strong written and oral communication skills
Fast and accurate typing skills
Must have high level of confidentiality
Must be flexible
Advanced level proficiency in Word, Excel, and Outlook
Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of business leaders and staff to provide information with courtesy and tact.
Ability to produce a high volume of work and to prioritize tasks while performing other essential duties.
