Understands and complies with established departmental processes and procedures designed to support internal controls efforts. Identifies and brings to the attention of department management internal controls deficiencies.
This position is responsible for varied duties requiring a broad familiarity with CF and assignments at this level are carried out with considerable independence. The incumbent is required to exercise strong decision-making skills and sound judgement.

What you'll do - Example Activities:

1. Provide assistance to General Manager.

  • Schedule and provide assistance for meetings/lunches/appointments.
  • Provide logistic assistance between tour group and Verdigris staff.
  • Assist with preparing presentations and documents for quarterly staff and operations meetings.
  • Handle telephone, messages and emails.
  • Incoming and outgoing correspondence, reports, fact sheet, publications, etc.
  • Communicate with and assist General Manager's staff as necessary.

2. Prepare and distribute the following routine reports in a timely manner:

  • Maintain the Shift Schedule
  • Maintain site phone lists
  • Annually prepare, order, and distribute shift cards/schedules.

3. Assist in developing and monitoring the General Manager Budget.

  • Assist accounting in budget preparation.
  • Monthly monitoring of General Manager's budget.
  • Manage CF memberships, subscriptions, and donations.

4. Office/Building Management

  • Share with other Administrative Assistants
  • the distribution of incoming U.S. Post Office mail and intracompany mail.
  • Coordination of meals to the plant
  • Prepare and follow-up on work orders for Management Area. Reviews requisitions order requests daily and inputs into Avantis.
  • Coordinates departmental calendars, travel, and events.
  • Purchase general supplies from Staples for Operations and Admin building, conference room, and departments, etc.
  • Approve Staples office supply orders from other departments.
  • Key Operator for copier/scanner and Pitney Bowes Postage Meter.
  • Assist in FedEx labeling and shipments.

5. Coordinate and interface with Deerfield personnel.

  • Reports
  • Itineraries
  • Quarterly Supervisory Meetings
  • Visitors and Tour Groups

6. Maintains GM's personal and project files, and departmental files.

7. Tracks and reports status of all Departmental Safety Performance Goals.

8. Performs other duties as may be assigned by authorized Management.

Required Skills:

  • Associates Degree preferred, Bachelor's degree highly desired or equivalent combination of education and experience
  • 3 to 5 years of mid-level management administrative assistant experience
  • Position requires individual to be highly trustworthy and confidential. Employees in this position will routinely handle confidential CF information.
  • Ability to adapt to a changing environment and handle multiple priorities with little supervision.
  • Must have strong organizational, time management and multi-tasking skills. Must be highly flexible in response to rapidly changing priorities.
  • Excellent organization, communication, presentation, and interpersonal skills.
  • Excellent writing and analytical skills with strong attention to detail and a high focus on accuracy. Excellent computer skills including Microsoft Office software.
  • Requires strong oral and written communication skills including strong command of English language composition and grammar.
