Job Description

Purpose of the Job

The Business Services Loan Documentation Specialist provides timely and accurate delivery of Business Services through the management of the Business Loan Documentation System, including: generating business loan documentation packages; delivery and coordination of all loan closings internally and externally; and follow up file maintenance including quality control and exception tracking.

Essential Functions and Responsibilities

  1. Facilitates loan closings both inside and outside the organization by coordinating with members, branch personnel, insurance companies, title insurance companies and attorney firms.
  2. Responsible for all commercial loan bookings within the core system.
  3. Books, Funds and completes required maintenance and report tracking on business loans that include USDA, SBA Loans and Participation loans.
  4. Responsible for documenting all required servicing data for participation loans within the portfolio; ensuring trial balances and payment remittances are delivered to the appropriate lead participant.
  5. Prepares legal documentation for business loans in accordance with approval terms and conditions.
  6. Manages tickler system and updates exception and collateral reports for business loans. (Property insurance renewals, loan documentation, UCC expirations, etc) which may include contact with members, insurance firms, title firms and attorney firms and provides the necessary reporting to Business Services Manager and Business Services Officers for active follow up on necessary items.
  7. Reviews business loan documentation for execution accuracy post-closing to ensure Credit Union policies and procedures have been followed that keep the Credit Union in compliance. Maintains Loan Exception tracking and completion of second level reviews of commercial loan packages.
  8. Maintains credit files that include validating all member financial information and loan documentation are complete within credit files.
  9. Assists with servicing inquires sent into the business services shared mailbox from both Members and MFC inquiries which includes payoff quotes.
  10. Serves as an Insurance liaison for the Business Services department.
  11. Supports TFCU Insurance Coordinator; gathering and providing required data for Evans Simpson Insurance tracking and/or working with the Loan Service Provider for the SBA insurance tracking.
  12. Serves as a back up to process SBA payments Assists with analysis of building of new business services products, from creation, design, testing and implementation.
  13. Performs credit file reviews in preparation of both internal and external audits.

Knowledge, Skills, and Abilities

  • Must have excellent communication skills in English, both verbal and written
  • Must have the ability to work with people at different job levels ranging from Senior Managers to front line employees
  • Must have strong computer skills, including intermediate knowledge of MS Excel and Word
  • Must have ability to understand all business processes within the credit union
  • Must be detail oriented, with excellent time management and organizational skills
  • Must be able to work in a general office environment
  • Must be flexible and able to shift resources and priorities as required
  • Must be able to complete all assignments with minimal supervision
  • Must be able to maintain confidentiality
  • Should possess a strong commitment to providing excellent service to Truliant's members

Physical Requirements

  • Occasional standing, walking, bending, and stooping required
  • Must be able to sit at a desk for long periods of time and use a computer
  • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds

Education and Background

  • Bachelor's or Associate's degree or equivalent work experience required
  • Minimum of 3 years experience in a financial institution or attorney firm generating business loan documentation
  • Previous experience in financial services/business development related field or paralegal background is required
