Executive Assistant - Admin Support

The Executive Assistant is responsible for coordinating administrative matters for and on behalf of members of the Clinic's senior-level executive leadership team in a highly responsible and confidential nature. Frequently communicates with senior-level internal and external contacts regarding confidential matters and is regularly exposed to confidential data. Has a high level of independence, responsibility, tact and integrity due to the sensitive nature of information.

Principal Responsibilities

  • Works independently with only general guidance on a variety of special projects for the Clinic's senior-level executive leadership team.
  • Independently researches a wide variety of information requests submitted to members of the Clinic's senior-level executive leadership team and proposes responses to the same.
  • Communicates instructions for and on behalf of members of the Clinic's senior-level executive leadership team regarding confidential matters.
  • Obtains and furnishes information from executives, employees and outside representatives.
  • Organizes, prioritizes and expedites flow of work through the Clinic's executive leadership team offices and independently initiates follow-up actions.
  • Independently drafts correspondence, letters and memoranda on behalf of members of the Clinic's senior-level executive leadership team for each executive's final approval.
  • Organizes and maintains correspondence and records for and on behalf of members of the Clinic's senior-level executive leadership team.
  • Schedules appointments, meetings, conferences and travel for and on behalf of members of the Clinic's senior-level executive leadership team.
  • Independently plans events and meetings for and on behalf of members of the Clinic's senior-level executive leadership team.
  • Coordinates Clinic Committee meetings facilitating agenda development, meeting support, and drafting minutes.
  • Supports the documentation of standard work and identifies/participates in improvement efforts.
  • Comply with the Springfield Clinic incident reporting policy and procedures.
  • Adhere to all OSHA and Springfield Clinic training & accomplishments as required per policy.
  • Provide excellent customer service and adhere to Springfield Clinic's Code of Conduct and Ethics Standards.
  • Perform other job duties as assigned.

Education/Experience

  • High School graduate or GED required.
  • Bachelor's degree strongly preferred.
  • Minimum five (5) years' executive-level secretarial experience required.

Knowledge, Skills and Abilities

  • Ability to accept and implement change.
  • Works with minimum of supervision.
  • Must be self-motivated and able to make appropriate decisions and follow through.
  • Maturity and dependability essential.
  • Ability to handle multiple projects simultaneously, assess priorities and function well under stress with many interruptions.
  • Strong communication skills essential.
  • Must be able to project a professional, pleasant image while working with a variety of personalities.
  • Observes high standards of confidentiality.
  • Knowledgeable in the use of various office machinery including PCS, printers, typewriters, dictaphones, copiers, fax machines and various phone systems.
  • Demonstrated expertise in Word.
