Office Manager

The PLTW Office Manager is responsible for day-to-day office workflows, ensuring a welcoming environment for all PLTW Team Members, partners, and guests and serving as an ambassador of PLTW's culture in every interaction. This role provides a wide range of administrative and executive support, partners with leadership to develop strategic office initiatives, and implements office procedures to streamline operations. The office manager plans, coordinates, and executes onsite events for both internal and external audiences, including contract negotiation, communications, catering, and technology. Occasional travel may be required. This position will temporarily work remotely from a home office during new office renovation.



RESPONSIBILITIES

Office Management

  • Manage day to day oversight of the office, improve processes and make decisions regarding daily office operations with a customer centric approach, consistently maintaining an exceptional and welcoming environment
  • Welcome office visitors and manage office access, following all visitor procedures.
  • Act as liaison with maintenance and vendor partners/contractors coordinating scheduling as needed.
  • Proactively identify potential roadblocks, research, and develop solutions, and resolve efficiently
  • Seek opportunities to enhance office operations, anticipate needs, and continually innovate to provide a best-in-class experience for Team Members and guests
  • Oversee the reception area, conference rooms, and meeting spaces to maintain a neat and organized appearance
  • Organize daily mail pick up and distribution, receive goods from delivery services, prepare outgoing mail and packages, manage outgoing overnight packages, courier services, etc.
  • Manage, organize, and maintain inventory in areas such as supply rooms, kitchens, and other common areas
  • Take steps to ensure a consistently inviting environment, with a focus on detail and organization
  • Perform and prioritize multiple tasks seamlessly with excellent attention to detail

Event Support & Execution

  • Support on-site meetings and Team Member events, coordinate catering, signage, and technology.
  • Ensure proper maintenance of office equipment and assist with setup/cleanup.

Organizational Support

  • Complete a broad variety of tasks for multiple leaders related to the office space including meeting setup, communication, travel coordination and meeting logistics
  • Work closely and effectively with leaders keeping them well informed of upcoming commitments and responsibilities, following up appropriately
  • Conduct research on events, policies, key business and government officials, businesses, etc.
  • Analyze and compile reports and data in preparation for meetings, conferences, site visits and other activities
  • Assist teams with office projects as assigned.
  • Arrange airport pickup of VIP guests when applicable

QUALIFICATIONS

Knowledge

  • Office management or related professional experience required
  • Experience providing high level administrative support to executives
