Coordinator I, West Africa Regional Office

Job Summary:

You will coordinate the provision of responsive, effective, and efficient administrative services for the WARO Senior Management Team in support of the Catholic Relief Services' (CRS) mission to serve the poor and vulnerable in West Africa. You will help ensure stewardship of resources and a high-quality service approach are integrated into administrative systems, policies, and procedures.

Roles and Key Responsibilities:

  • Coordinate and report on activities and required resources to ensure cost efficient and quality service delivery from administrative support functions, as well as regional projects and programs.

  • Help ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations.

  • Engage with relevant external stakeholders (government officials, landlords, service providers, etc.) on assigned administrative matters (annual reports, meeting attendance, holiday cards) and help ensure required authorizations and documents are up to date.

  • Help ensure fully compliant procurement of office materials, filing and asset management systems.

  • Manage the WARO intranet page and documents center up to date and organized, including the regional team calendar, email lists, office holiday schedules and regional organization chart.

  • Support the planning /organizing of onboarding of new regional staff, as well as senior field leadership.

  • Coordinate event planning and regional activities, including delegation, executive or board visits; regional meetings and retreats, trainings, and workshops (virtual and face to face).

Basic Qualifications

  • Associate degree or equivalent combination of education and relevant work experience is required.

  • Minimum of 3 years work experience in administrative support functions, with increasing responsibility. Experience with an international NGO a plus.

Required Languages - English and French, fully fluent

Travel - not required, but there could potentially be opportunities to travel 2-3 time per year.

  • Exceptional planning, organizational and time management skills

  • Strong customer service orientation with very good interpersonal skills

  • Ethical conduct and ability to maintain strict confidentiality

  • Excellent written and spoken communication in both languages

  • Proactive, resourceful, solutions-oriented and results-oriented

  • Meeting facilitation, organizing and reporting. Ability to work independently.

  • Experience and proficient skills in MS Office package (Excel, Word, PowerPoint, Visio), Outlook advanced knowledge and skills, Teams advanced skills and information management systems.

Internal : WARO Regional and CP Staff, Other CRS Staff

External : Government officials, landlords, Service providers
