As the Sales Administrator, you will be reporting directly to the Strategic Partnership Manager. This is an exciting, varied and sometimes challenging role that will see you on the frontline of the Company. As you will be the first point of contact for our clients, you must have a passion for providing outstanding customer service.
You will also need to be a diligent worker, able to prioritise under pressure and follow through on actions. This role is an essential part of the sales team, building supportive and trusting relationships with customers and clients and key stakeholders across the business.
Sales Administrator's Responsibilities:
Front line answering of the sales phone extension and providing prices / information as requested. Processing orders and/or taking details and forwarding to the appropriate member of the sales team for more complex enquiries or quote requirements.
Ensuring all leads that the sales executives receive are populated on the pipeline and point with all details given.
Responding to emails received to the sales@ and info@ email addresses alongside their own emails, within 1 working day of email. Providing assistance personally or forwarding to the appropriate member of the team and ensuring they respond accordingly.
Preparing simple quotes and assisting the internal and external sales executives.
Ensure that all orders are updated and populated with all necessary documentation/special instructions to allow the operations team to book the customer installations, to include fleet lists, schematics and special instructions
Responsibility for all Dispatch/Build and Dispatch orders are processed and successfully delivered to include confirmation with customer, processing, population with all details including but not limited to special instructions, fleet list and schematic. Reviewing schematic and amending sales orders where appropriate before dispatching any customer orders.
Splitting dispatches and responding to customers when orders are out of stock and provide regular updates to support and maintain healthy communication with all customers.
Updating the Sales Price list with new products/prices
Liaising with production and installation teams to ensure dispatch deadlines are met.
Resolving customer queries relating to dispatches.
Managing the CRM program: updating with all new contacts; any new details; and updating sales pipeline.
Process any pro-forma orders and send invoice to customer.
Send customer account forms to customers and liaise with accounts to open account and check payment received prior to Despatch if proforma.
Ad hoc administrative and support duties.
Any other tasks specified by managers/directors on request
