Legal Operations Manager

Summary: The 32BJ Legal Services Fund provides legal advice and representation to eligible 32BJ

members and their eligible dependents. Under the supervision of the Legal Services Fund Director, the Legal Operations Manager will be responsible for managing the administrative operations of the Legal Fund, including analyzing the business processes of the Fund with the objective of identifying and implementing opportunities for improvement and automation. Working with the Legal Fund team and other stakeholders, the Legal Operations Manager will utilize skills such as strategic planning, financial management, vendor management, technology management, and data analytics.

Essential Duties and Responsibilities:

Strategic Planning

? Partner with the Legal Fund Director and other stakeholders to drive the shared vision for the

Legal Fund

? Create KPIs and annual goals for the department

? Create and implement existing projects for the Legal Fund

? Prepare reporting materials for use during reviews of Legal Fund metrics and performance

Financial Management

? Oversee Legal Fund Accounting Team

? Prepare and maintain budgets

? Operate e-billing program and related systems

? Manage billing related to outside counsel and other vendors

? Financial reporting (within the legal department and outside the legal department)

? Create legal department dashboards

Vendor Management

? Maintain vendor contracts and renewal period tracking

? Continuous evaluation of Legal Fund programs and contracts to ensure ongoing utility and value

? Identify new programs or alternate vendors through a rigorous review process, including assessment of current program or process pain points

? Capture key metrics to evaluate vendor results and quality, adherence to budgets, and compliance with guidelines

Technology Management

? Evaluate, test, and implement new technologies (and train individuals on how to use the various technologies used by the Legal Fund)

? Maintain technology used by the Legal Fund

? Be the project lead on introducing new programs and processes

Operational/Legal Data Analytics

? Data analytics and metrics

? Find and implement process improvements

? Knowledge management

? Records management

? Manage intern program

? Determine legal process improvements

? Plan Legal Fund meetings, including off-site and related activities

? Regulatory compliance

? Project management

? Satisfaction surveys (clients, internal to the department)

? Meet with stakeholders and end users to identify, prioritize, and document business and technical processes and requirements. Develop process documentation/workflows outlining current state and future state

? Training and ongoing supervision of non-attorney personnel

Qualifications

? 5+ years of management experience in a professional services organization.

? Bachelor’s Degree in Business Management, Information Technology, Financial Management or similar relevant field required; Masters preferred

? PMP or CLM certification preferred

? Proficiency with Microsoft 365 an advantage

Requirements:

? Experience in business process analysis and design, workflow analysis, and developing future business processes.

? Experience facilitating training and providing coaching in process improvement methodologies

? Strong ability to develop process improvement strategies using operational and performance data;

? Extensive ability to configure workflows using business process management software;

? Excellent MS Office skills including Visio, PowerPoint and MS Project; Qlikview or similar software experience an advantage.

? Good understanding of UI design, and systems integration.

? Detail oriented with excellent organization, presentation, critical and analytical thinking, communication, and problem solving skills;

? Ability to plan and take initiative to accomplish objectives in timely fashion;

? Ability to establish and maintain effective working relationships with team members, supervisors, and employees from other departments.
