The Union Administration Specialist will be responsible for the accurate and timely submission of monthly payments to various unions related to health benefits, training funds, legal funds, supplemental retirement savings plan, union dues, initiation fees, voluntary contributions and other deductions or fees as applicable. This role will provide centralized support to our National Security Operations local district office staff assisting them with the interpretation and contractual deliverables of their local collective bargaining agreements/union contracts.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: Those duties necessary to meet the minimum requirements of the position. Other duties may be assigned:

  • Review and interpret the financial terms and conditions and operational deliverables of collective bargaining agreements/union contracts
  • Analyze and reconcile the union data and internal system data on a weekly and monthly basis; generate reports detailing all findings and necessary corrective action required
  • Gather and review weekly timesheets, format output, and export into systems as required
  • Track union rate changes and related payroll deductions; coordinate changes with human resources and payroll
  • Run monthly payroll reports including dues and fringe benefits using union portals
  • As requested, complete union audit; this consists of gathering W2s, timesheets, and union reporting for specified period
  • Partner with local district office staff acting as the Subject Matter Expert for union contract administration
  • Maintain union membership rosters within the union’s database

Must possess one or more of the following:

      • A high school diploma or equivalent with a minimum of four (4) years of union administration work experience
      • Bachelor’s degree in finance or business administration/management
  • A minimum of one (1) year of business services or field operations support experience
  • High volume reconciliation experience
  • Experience in a fast-paced, high-growth environment with a proven ability to sustain a high level of output and productivity
  • Critical thinker, analytical and detail oriented
  • Excellent reading comprehension to interpret union Collective Bargaining Agreements and associated Riders
  • Ability to take ownership of issues and seek solutions
  • Ability to work well both independently and as part of a team (demonstrates strong relationship-building skills)
  • Excellent oral and written communication skills
  • Intermediate or advanced knowledge of Microsoft Office and Outlook
  • Ability to conform to complex procedures and meet deadlines
  • Ability to identify and solve problems
  • Ability to perform multiple tasks simultaneously in a timely, courteous, and professional manner
  • Solid understanding of basic accounting concepts
