Forest Lawn is looking for an enthusiastic Sales Office Assistant to join our Pre-Need Sales Division and provide support to the Indio Advance Planning region.

The Sales Office Assistant in an integral part of the sales team, and in their valuable support role the responsibilities include, data entry, file, handle mail, answer phones, and perform other clerical related tasks critical to the office operations. The sales office assistant serves as the point of contact for sales representatives who are out in the field meeting clients and making sales. They will review and process all sales contracts submitted by sales professionals and submit information in a timely manner to produce daily sales reports. They must have an ability to prioritize and deal with demands coming from various directions, including the sales professionals, other departments within the organization, and provide support to the sales managers.

  • Assist sales office manager with answering client family inquires on property contacts and deed deliveries.
  • Ensure that the daily sales reports are submitted to the Advance Planning Senior Vice President’s office in timely manner.
  • File office documents, such as commission statements, sales unit reports, etc.
  • Assist sales office manager with the maintenance of supplies necessary for the office, including but not limited to forms, brochures, documents, property and commodity contracts, pamphlets, advertising material, special event/holiday supplies, stationary and office equipment/supplies using requisition form.
  • Answer and field all incoming calls.
  • Review property and funeral policy contracts and check for errors. Communicate with Planning Advisors when errors or missing signatures are present.
  • Assist in updating sales numbers on board daily (from Cemetery Sales & Funeral Policies report).
  • Assist with the assembly of packets of information, contracts, and forms for Planning Advisors. Track and replenish supply of forms made available to Planning Advisors in a timely manner.
  • Print property and Insurance delinquency reports and provide to the sales office manager.
  • Mail policy payments to designated Life Insurance company.
  • Label, sort and envelope stuffing of collateral material.
  • Bundling of contracts, documents and other material for the purpose of sending them through interoffice mail.
  • Scan and fax contracts and documents as required.
  • Assist Planning Advisors and Managers by looking up property availability on HMIS as needed.
  • Take phone message in the absence of management and communicating them to management.
  • Assist Managers and Planning Advisors who are conducting in-house group or individual presentation or open-house recruiting events by cooperating with the decoration/set-up of the office, and literature as prescribed, welcome attendees and distribute literature to them, and guide to their seating arrangements.
  • Assist Planning Advisors with CRM system when they have questions or perform troubleshooting when necessary.


HS Diploma/GED preferred

2 years experience in customer service/sales experience required.

Type 35 wpm

PC Proficient

Knowledge of MS Word, MS Outlook

Excellent Customer Service and communication skills

Must have positive, supportive, and motivating attitude and demeanor

Spanish bilingual required
