The Cleveland Museum of Natural History (CMNH), founded in 1920, is located in the heart of University Circle, five miles east of downtown Cleveland, Ohio. Considered one of the finest institutions of its kind in North America, the Museum offers an incredible visitor experience, attracting roughly 275,000 visitors a year.
Building on its strong foundation of excellence in education and research, the Museum is poised to transform itself. CMNH will invite and engage a broader audience in the exploration of science and the natural world by revolutionizing the way it presents natural history. The Museum has currently launched a capital campaign to support a dramatic renovation and expansion of its facilities and exhibits. This ambitious plan will position the Museum to play a leading role in regional and national efforts to improve science education and increase scientific literacy.
The CMNH is seeking a dynamic, creative and energetic individual who is passionate about the Museum and its mission; exhibits strong organizational and administrative skills; is looking for new challenges; and enjoys working in an enthusiastic and fast paced environment.
Responsible for the administrative support to the President & Chief Executive Officer, Board of Trustees, and Administrative Offices.
Essential Duties and Responsibilities:

Handling the President/CEO’s extremely active schedule by maintaining an organized and up to date calendar. Resolve meeting conflicts efficiently, while prioritizing the needs of multiple stakeholders.
Screen incoming calls and determine the level of priority, while using caution in dispensing information.
Oversees the management of the executive’s schedule, travel needs, including air travel, hotel, rental vehicles, visas, and all other travel and schedule related needs including proper preparation of timely expense reports.
Organize all aspects for offsite conferences and external events, including catering and transportation.
Handle regular activities without prompting, and advise in advance with issues or delays.
Serves as a gatekeeper for the executive and others by communicating directly with the public, customers, board members, other business executives, and staff members, as appropriate.
Handles confidential information in a professional and discreet manner, bringing important information to the attention of the executive as appropriate.
Creates and distributes agendas and objectives for all meetings the executive is responsible for, provides research/background information, develops content, creates presentations/meeting documents, and coordinates scheduling.
Serves as a project manager for special projects at the request of the executive, which may include: planning and coordinating multiple presentations, disseminating information, and organizing events.
Prepares executive for all meetings and ensures after meeting follow up is complete; including, but not limited to, drafting the objectives, setting the timetable, producing a final draft of reports, compiling financial data and producing dashboard reports, tracking, monitoring, and closing the loop on open action items to ensure timely and accurate completion.
Coordinates contacts and facilitates relationships with key partners and articulates issues that may be developing or opportunities for forwarding institutional initiatives.
Stays informed on issues and key people relating to board and committee roles.
Stays connected to the pulse of the organization, keeps the executive informed of employee life events and facilitates the celebration, recognition or support as appropriate.
Helps the executive connect with and support all employees in their area of responsibility.
Education and/or Experience:

Associates degree (Bachelor’s degree preferred) from a two-year college or university in a relevant field of study; or five to ten years of experience/or training; or equivalent combination of education and experience.
High level of experience working with Microsoft office products to include word, excel and PowerPoint.
High level of experience in cloud-based collaborative applications such as Dropbox, Basecamp, Google Apps, iCalendar, Zimbra and related programs.

Excellent organizational, verbal and written communication, time management and customer service, analytical and problem solving skills.
Ability to exercise initiative and good judgment in anticipating problems before they arise.
Ability to work with an interdisciplinary professional team, including high-level division and department directors.
Ability to effectively coordinate and track multiple projects simultaneously, prioritize, work well under pressure with a high degree of accuracy, and meet stringent and overlapping deadlines.
Demonstrated knowledge of writing clearly and informatively with a high level of sophistication and varies writing style to meet needs.
Ability to work a flexible schedule which may include evenings and weekends.
