Office Administrator (20 Hours per Week)

Reports to:



​Good interpersonal and written communications skills, ability to keep confidentiality, works well with others, computer proficient, good telephone skills, familiarity with church office work, church office experience preferred, ability to work effectively in a stressful environment and willingness to learn new skills.


  • Is the “first face” of St. Paul’s, greeting visitors and members with a helpful, compassionate and listening ear.
  • Serve as Church Receptionist – answer phone, invite visitors into the reception area, and sort the mail.
  • Enters data into the church Windows Membership module and works to ensure the data is accurate. Also, continue training in Church Windows Membership to better understand and facilitate this program, and work with volunteers in training and data entry.
  • Maintain an accurate church calendar. Make sure changes to the calendar have been communicated to appropriate groups.
  • Assist the pastor(s) in arranging for baptisms, weddings, funerals and other pastoral acts. Communicate with impacted groups. Keep pastoral acts records up to date.
  • Coordinate building use by St. Paul’s and outside groups.
  • Coordinate volunteer efforts to care for worship and hospitality space.
  • Coordinate office volunteer ministry.
  • Maintain an up-to-date prayer list and communicate prayer needs with partners in prayer.
  • Work with the pastors, Director for Worship and Music, Director for Faith Formation and volunteers, coordinate the writing, editing, proofreading and distribution of all bulletins, newsletters, letters and other documents set to friends and members of St. Paul’s. Ensure all written documents are edited for content accuracy and timeliness, and proofread for spelling, grammar and punctuation before publication.
  • Review final documents with pastors and/or director of music as needed.
  • Develop a mutually agreed approach to resolve issues regarding accuracy or timeliness of publications.
  • Help to develop and keep current church letterhead, cards, etc.
  • Confirm that the worship assistant schedules for the weekly bulletin are up-to- date and accurate, and changes have been communicated to the appropriate groups.
  • Schedule worship assistants not scheduled by a member of the congregation.
  • Coordinate efforts to keep church bulletin boards current.
  • Provide additional assistance requested by the Senior Pastor or other staff.
