Overview:

The Administrative Support Specialist works under the general supervision of the Health Trust Benefits Manager and provides a variety of administrative functions to support the day-to day tasks and on-demand projects related to the operations of the Health Trust. This is a newly created position due to the continued growth of the Health Trust.

Responsibilities and Essential Functions of the Position:

  • Assist with general administrative duties including but not limited to printing, mailing, scanning, preparing presentation folders, etc;
  • Support Eligibility Specialist with day-to-day eligibility transactions, COBRA enrollment, annual open enrollment and related activities during peak periods;
  • Support Plan Implementation Coordinator with distribution of SBC’s and SPD’s;
  • Review data submitted by entities for annual ACA reporting and report discrepancies per established protocol;
  • Update Employee Assistance Program census bi-annually for vendor billing purposes;
  • Support wellness programming by assisting with coordination of wellness events, processing incentive/reimbursement checks and providing general administrative support during peak periods;
  • Compose, type, and distribute routine correspondence and other documents as required (e.g. presentations, statistical data, monthly reports, etc.);
  • Use spreadsheet, database management and/or word processing applications to create, maintain, and/or enter information;
  • Answer telephones and give information to callers, take messages, and/or transfer calls to appropriate individuals;
  • Exercise good judgment and initiative and carry out job functions under general supervision;
  • Work effectively under time constraints to meet deadlines and manage a number of different tasks concurrently;
  • Work with accuracy and attention to details;
  • Accurately calculate, check, and/or record numerical information;
  • Maintain privacy of confidential data, records, correspondence and/or files;
  • Communicate effectively in writing and verbally to convey information in a clear and concise manner;
  • Establish and maintain effective working relationships with co-workers, other departments, members, etc;
  • Carry out job functions without posing a health or safety threat to self or others;
  • Maintain acceptable attendance standards;
  • Performs other related duties and responsibilities as assigned.

Physical Demands of Job

  • Ability to sit for extended periods of time while working;
  • Frequent hand, fingers and arm use and excellent eye-hand coordination;
  • Occasionally perform activities involving walking, bending, squatting, reaching and climbing stairs;
  • Occasionally stand for extended periods of time;
  • Ability to hear clearly and speak intelligibly;
  • Ability to see and perform visual activities such as close-up paperwork, using a display monitor, reading and writing;
  • Ability to lift and/or move up to 25 lbs.

Qualifications:

  • High school diploma or GED and three years of increasingly responsible secretarial and administrative support work;
  • Associate’s degree in business administration or health related field with one year of secretarial or administrative support work; or
  • Equivalent combination of education, experience and/or training which provides the knowledge, skills and abilities necessary to perform the essential functions of the position and required work;
  • Prior experience working with health benefits desired;
  • Ability to multi-task, prioritize tasks and respond with sense of urgency;
  • Ability to successfully and effectively work independently and within a small team structure;
  • Strong analytical and problem-solving skills;
  • Strong written and verbal communication skills;
  • Strong computer skills (Microsoft Office is essential).
