Our Facilities Coordinator oversees and manages all 7 of Attain Housing properties through maintenance and repair and procurement of materials and supplies, and with overall direction from the Executive Director and our Program teams.
Acts as project manager of tenant improvements and general construction; manages contract compliance of all services related to building maintenance, oversees third-party vendors and performs hands- on work at the properties when needed.
This is a full time position with a starting salary of $61,000 plus benefits. This position requires onsite work at our properties in Kirkland and Bellevue, WA. Transportation between properties is reimbursed.
Key Job Responsibilities:
A. Property Maintenance
o Responsible for all day-to-day facility related operations including scheduled maintenance, repairs, upgrades, work requests, and emergency situations. Oversees multiple third-party vendors and subcontractors.
o Monitors the maintenance email account, corresponds with tenants to assess issues and coordinates timing and access to the unit to ensure rapid responses to client’s needs.
o Responds to emergency calls to the Google Voice Mail number even after normal work hours.
o Maintains records of all tenant requests, communication and resolution of requests.
o Will assess maintenance issues to determine if it can be handled easily internally or there is the need for a third-party vendor (electrician, plumber etc.).
B. Turnover Management
o Assesses apartment maintenance and upgrade needs as families move out and preparation is made for new families to move in. Approximately half of our tenants move out in a given year.
o Provides the Program Services Manager with estimates of tenant-caused damage that will be charged against the tenant’s damage deposit.
o Coordinates materials purchases and third-party vendors to endure rapid turnover of the apartments. Attain’s goal is an average turnover time of 2-3 weeks.
C. Preventative Maintenance
o Prepares and oversees all preventative maintenance scheduling and work and sees through to timely completion.
o Monitors and inspects buildings and premises for fire, security, and safety issues. Schedules all fire safety related testing with contracted vendors.
o Ensures that the grounds of all Attain properties are well-maintained either through 3rd party vendors or volunteers.
D. Capital Improvements
o Performs an annual capital needs assessment of all properties and working with the Executive Director and the Housing Committee of the Board, prioritizes improvements.
o Uses strong project management skills to schedule and oversee larger agency projects including Capital improvements. Ensures all needed supplies are available and accessible to complete tasks expediently, efficiently and within the allotted budget.
o Collaborates with the Director of Development to identify and prepare documents for capital funding grant opportunities.
E. Other
o Researches, analyzes, negotiates and reviews bids for project proposals and procurement of equipment. Selects and oversees a team of outside vendors when needed for projects; monitors and reviews work performance for quality, accuracy and completeness.
o Works closely with Staff to identify and accommodate volunteer projects at the Properties and be available to support these projects. This may entail directing groups of volunteers as they work on a project.
o Maintains records of all work performed and costs. Maintain records of all capital equipment which reflects purchase dates, costs, service dates & costs, descriptions and inspection reports.
o Maintains an updated list of all vendors, suppliers and contractors. Develop good professional relationships with preferred vendors.
o Maintain an inventory of all Attain equipment, materials, and supplies. Keep these items safely stored
o Maintains cooperation and positive relations with staff, clients, partner agencies, volunteers and donors, building occupants or tenants, contractors, public officials, and the general public.

We have asked all clients to wear a mask or not be in the apartment while maintenance work is being done. Facilities Manager can refuse to provide service if client doesn't comply.
