*This position is 100% remote , pending further notice. Incumbent will be expected to work on-site in NW DC with some flexibility for remote work once our government agency client has returned to their physical office space*

Administrative Assistant

Infotrend is seeking primary executive assistant support with additional support provided as required from administrative support staff. This position will provide administrative support to the Director and other Federal staff. Support includes travel, data entry, Outlook or calendar management, document editing, and other duties as assigned.

Responsibilities:

  • Perform a variety of clerical and administrative tasks such as copying, faxing, and maintaining records, files, and manuals
  • Organize and maintain files and records, in electronic and hard copy
  • Provide administrative support to the Director and other Federal staff as assigned
  • Maintain Outlook calendars
  • Submit final travel vouchers in Govtrip.
  • Coordinate and prepare Invitational travel in Govtrip
  • Provide updates to agency processes or standard operating procedures as appropriate.
  • Capture director meeting notes and distribute to staff.
  • Coordinate the monthly All Hands meeting.
  • Type, edit, and proofread correspondence, documents, and memoranda using MS Word, MS Excel, MS PowerPoint and MS Outlook and/or other MS Office software applications/suites
  • Maintain the calendar of all Federal employee leave and absences and ensure all documentation (e.g., leave slips, tour of duty schedules, doctor’s notes, etc.) are maintained to support the official time and attendance records
  • Schedule appointments, arrange meetings (face-to-face, video conferences, web conferences) and conferences/workshops to include arranging for the meeting/conference/workshop site, send invitations, and compile informational packets needed by the meeting/conference attendees and/or presenters
  • Prepare presentations for conferences and meetings.
  • Based upon the particular needs of the Office (where assigned), collect data and prepare specialized reports, maintain tracking systems and logs for services

Required Qualifications:

  • At least an associate's degree, bachelor's degree preferred.
  • At least three years of Federal government professional experience supporting a director level position
  • Demonstrated proficiency in MS Word, Excel, PowerPoint, and Outlook
  • Demonstrated knowledge of the Federal Travel Regulations
  • Demonstrated proficiency in official Federal government records disposition
  • Position requires that all director correspondence is kept confidential.
  • Security Clearance: Must be a US Citizen or Permanent Resident and able to obtain a Government Agency Public Trust.
