Operations Assistant (Ground Transportation)

Location: Chicago, ORD

Job Type: 6 Month project, Monday thru Sunday

Salary: $24/ HR

Under the general supervision of the Site Manager/Deputy Site Manager, the Operations Assistant, Flight Management, is responsible for undertaking activities related to the departure processing and/or transit of guests and SIV-holders, with the following duties and responsibilities:

1. Undertake departure and transportation activities in an assigned area or areas, such as meeting and assisting departing guests as part of a team, prior to and on the day of departure; assisting with ground transportation and transit; assisting with quality checks of domestic travel documents; and assisting with administrative duties.

2. Meet and greet departing guests as part of a team; brief them on departure and transportation procedures; quality check relevant paperwork; Convey issues as they arise to the Operations Focal Point or supervisors.

3. Escort guests to the airport, through ground transportation, maintaining necessary communication with base and airport colleagues and supervisors. If required, escort medical cases requiring special assistance and remain with them until they are handed over to the relevant colleagues at the airport. Ensure at-risk and sensitive cases are handled in accordance with our customer's policies, procedure,s and guidance in the Movement Management Manual (MMM).

4. Assist with the preparation of flight folders and packages, domestic bookings sheets, lanyards, and all other needed documents; assist with quality assurance checks of relevant data as directed by supervisors and in coordination with partners on base and airport team members.

5. Provide assistance at hotels for individuals in transit, including for extended periods of up to 12 hours and during overnight periods; ensure the needs of the individuals are met throughout their hotel stay and communicate promptly with hotel representatives and supervisors if issues arise.

6. Provide interpretation services for departing guests, throughout the departure process, during transportation, and until they are handed over to the airport teams.

7. Provide regular feedback on work being accomplished to supervisors and team members, particularly in relation to issues and anomalies.

8. Undertake duty travel, if required, to participate in meetings or training sessions, or to escort individuals transiting to their final destination.

9. Demonstrate the ability to remain professional, impartial, and unbiased during all interactions with Afghan guests, SIV-holders, and colleagues per the Customer’s Code of Conduct and instruction on the prevention of sexual exploitation and abuse (PSEA).

10. Maintain and ensure the confidentiality and integrity of all USRAP-related paperwork in line with standards of conduct and data protection rules. Alert management of any non-compliance to SOPs or codes of conduct by staff members and partners.

11. Perform such other duties as may be assigned.
