Executive Assistant To CEO

We are looking for an Executive Assistant to provide Administrative support to the Chief Executive Officer (CEO), in addition to providing additional support to members of the executive team and some office management responsibilities.
Duties include, but are not limited to, a wide array of administrative, logistical and project related executive support.
Essential Job Functions:

  • Provide executive support to the CEO and other executives of the Business, as required.
  • Manage ever-changing and busy calendars to make the workday as smooth and productive as possible.
  • Monitor, screen, respond to and distribute all incoming communications.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • File and maintain all business-related documents and reference materials.
  • Conduct research, collect and analyze data to prepare reports and associated documents.
  • Assist with preparation of reports/presentations for meetings and conferences.
  • Plan and execute travel arrangements for CEO, and when needed, other members of the Business, either in coordination with the Travel Desk, or in a direct capacity.
  • Coordinate facility related needs for Business, to include ordering supplies and equipment, managing contractors for repairs and improvements, and overseeing ongoing readiness of the office and conference rooms.
  • Design and Implement effective administrative systems and procedures for the CEO and the Business. Then, review administrative operating practices and recommend improvements, where necessary.
  • Manage expense reports for CEO and support other executive team members as necessary.
  • Responsible for purchasing through the corporate account.
  • Work cross-functionally to ensure communication is efficient and clear.
  • Coordinate logistics for CEO and the Business.
  • Organize executive meetings and off-site events/meetings. May also plan and execute Team events to facilitate core values of the Business.
  • Exercise strong judgment and discretion with highly confidential information.

Required Skills and Experience:

  • Minimum of three (3) years of relevant work experience, preferably in an office setting.
  • Detail-oriented execution of administrative activities, with high attention to detail, organization and process.
  • Demonstrated ability to handle and manage confidential information.
  • Strong grammatical skills and proofreading capability.
  • Ability to be flexible in response to changing priorities and needs.
  • Capable of working under limited guidance, and comfortable making solid judgment calls autonomously.
  • Proven ability to manage projects, work under pressure and consistently make deadlines.
  • Aptitude for identifying and managing priorities to accurately set expectations.
  • Strong communication, oral and written (ability to communicate clearly and effectively with senior leaders and external partners).
  • Maintain professional presence and great front facing skills.
  • Strong technical skills – Word, Excel, PowerPoint and Outlook
  • Ability to remain energetic and positive in a fast-paced environment.

Desired Skills and Experience:

  • Bachelor's Degree in Business or related field.
  • C-level/executive administration experience.
  • Leading or assisting with professional research projects.
  • Experience arranging complex schedules and logistics across multiple time zones.
