Real Estate Transaction Coordinator - REAL ESTATE EXPERIENCE ONLY

Carrington Real Estate Services, LLC (CRES) offers a full service real estate brokerage operation that operates currently in 28 states through its network of over 2,000 licensed real estate agents to manage the sale or purchase of residential properties, with particular experience in maximizing the value of REO properties for sale. CRES manages the process of accepting, refurbishing, preserving and marketing residential properties, and works with both sellers and buyers of residential properties to manage the contract negotiation, sale and escrow processes. CRES has developed a significant branch footprint, business processes, controls and infrastructure to support the asset disposition life-cycle as well as short sale processes.

Responsible for providing administrative and clerical support to a team of Sales Agents. Facilitate the closing function of the property. Assist the Operations Manager with Transaction Coordinator support.

Perform all duties in accordance with the company’s policies and procedures, all state and federal laws and regulations, wherein the company operates.

Essential Duties and Responsibilites:

  • Responsible for verifying all properties have been entered into Transaction Point (“our paperless closing system”)
  • Facilitate the closing function of the property:
  • Verify all disclosures have been sent within the required amount of time.
  • The offer and counters according to the buyer matches the seller approval.
  • Verify that the EMD has been received according to the contract.
  • Work closely with escrow and the selling agent to retrieve any and all documents needed to close the files according to TREC and Broker guidelines.
  • Verify and sign off on all documents received for correct signatures and dates.
  • Follow up with agents for missing documents.
  • Verify the HUD is correct and commissions will be paid accordingly.
  • Sign off on files and submit to Broker for final signature.
  • Stay abreast on all required documents by TREC.
  • Verify commissions are correct in accounting system.
  • Verify all TREC required documents (“Disclosures”) have been sent within the allowable time.
  • Contact buyer's agent to request disclosures to be returned.
  • Verify with escrow that escrow will be opened within a reasonable time.
  • Verify the HUD to make sure commission instructions are correct and the information has been given to Escrow for commissions to be paid.
  • Stack closed files for processing the closed file for review.
  • Provide follow-up and enter LW input sheets into the accounting system for outside Transaction coordinators.
  • Responsible for Lone Wolf set up and corrections for all 1099 branches.
  • Set-up CPN property in Lone Wolf.
  • Calculate CPN referrals for closings.
  • Take notes for all TC meetings & sending out recaps to TC’s.
  • Provide coverage for TC’s when out of office.
  • Learn different state requirements with current TC’s.
  • Assist with collection and submission of new hire paperwork.
  • Assist with multiple database projects and data entry.
  • Assist with event planning and Sales Meetings.
  • Assist with management of office Social Media accounts.
  • Perform other duties as assigned by the Office Leader.

Essential Knowledge, Skills, Abilities and Competencies:

  • Basic skills in Microsoft Suite—Word, Excel, Powerpoint, etc.
  • Intermediate skills in Google Docs
  • Advanced industry related software skills including Zipforms, Docusign, Equator and HAR
  • Intermediate Social Media Skills
  • Basic Negotiation Skills
  • Ability to work in a fast paced environment
  • Ability to interact with Senior Management as an advisor on projects, and to act as the company’s principal spokesperson in the area of expertise.
  • Ability to make decisions that have significant impact on the department’s credibility, operations, and services
  • Ability to organize and prioritize their own work schedules
  • Ability to add, subtract, multiply, divide and to record, balance, and check results for accuracy
  • Ability to express or exchange ideas by means of the spoken word, communicating orally with others accurately, audibly, and quickly

Education and Experience:
-High school diploma or equivalent work experience
-Some college preferred (1-2 years)
-1 year of Transaction Coordinator experience required
-Real Estate license preferred
