A/R Specialist

Obtains financial data for use in maintaining accounting records by performing the following duties:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Recording and Applying All Company Operating Account Credits

All operating account credits (credit card, lockbox, physical deposit, incoming ACH, incoming wire, etc.) should be recorded timely and accurately

Timely –

Print daily operating account credits pages at the start of business and note applicable bank credits total at the top of page one of the report (daily cash log e-mail should tie into this total)

  • All cash items should be accurately posted by the end of business the day after posting to our operating account. Any items where it’s unclear what full application should be can remain un-posted. However, they need to be resolved by the end of business on the next business day.
  • A cash log should be e-mailed to Dave Wickett and credit managers by the end of business for the prior business day’s postings (please note on the log any unresolved items)
  • On the day of month-end accounting close all operating account credits should be recorded by 2:00 P.M. Month-end close cannot proceed until this has been completed

Accurately –

  • Cash should be applied in Infor using the AR Module > ARET function (AR Transaction Entry)
  • All applied cash should be posted to the correct customer number accurately when initially posted
  • All applied cash should be posted to the correct customer account transactions when initially posted (invoices, service charges, credits, etc.)
  • Unapplied Cash should not be used. Only in rare cases such as:
  • An invoice, or other customer transactions, have not been fully processed in Infor, it’s documented the bank credit was related to these items, and we reference the appropriate information in the reference field (typically cash / counter sales)
  • Credit confirms that it’s acceptable given circumstances
  • All applied cash should be posted with a journal date that matches the bank statement date we received the credit (regardless of actual posting date) (for Bank Reconciliation purposes)
  • All bank statement credits should tie to one journal number (for Bank Reconciliation purposes)- All company operating account credits should have adequate back-up documentation, and it should be scanned into Max Recall in a timely fashion Adequate –
  • Cash Receipts Journals should have the daily ‘previous day composite’ report as it’s cover sheet, with the appropriate total at the top
  • Each individual credit on the report should be supported by one journal number
  • Each journal number should have full appropriate back-up (branch log sheets, remittance advices, ACH e-mails, lockbox packet, etc.) Timely
  • All back-up to each GUI cash application journal entry should be attached at the time of posting
  • Maximum lag time for daily credit posting packets being scanned and indexed into Max Recall is five business days (2) Process customer refunds in an accurate and timely fashion (3) Ongoing Maintenance of Customer Accounts in Infor
  • Scanning and indexing for all accounting and credit
