Front Office/Bookkeeping

Job Description

Responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail.

Answer phones.
Take and relay messages.
Route calls to specific people.
Answer inquiries about company.
Greet visitors
Schedule meetings and conference rooms.
Arrange appointments.
Schedule follow-up appointments.
Coordinate mail flow in and out of office.
Hand out employee applications.
Distribute paychecks to employees.
Send email and faxes.
Follow up documents from customers and/or vendors.
Collect and distribute parcels and other mail.
Perform basic bookkeeping, filing, and clerical duties.
Update spreadsheets.
Process order for materials, equipments, etc…
Timekeeping for all employees

Front Desk/Administrative Assistant Qualifications
Must know proper telephone etiquette as well as knowledge of routine clerical procedures
Adaptable and well organized
Quick at compiling, filing and typing
Extremely proficient in Microsoft Office applications
English required (Spanish speaking is a plus) .
Microsoft office basic knowledge .
