Executive Assistant, Advancement

The Darden School Foundation at the University of Virginia seeks a highly motivated Executive Assistant (EA) to provide strategic support to the Interim Vice President (IVP) for Advancement and the Assistant Vice President (AVP) of Engagement. This role provides high level administrative support including research and analysis, and preparation of reports and presentations. This position works closely with the senior advancement team to coordinate efficient operations of the office to meet Darden's ambitious fundraising goals. This role manages the day-to-day operations of the Advancement team and serves as the primary contact for all internal and external constituents. The EA prepares correspondences and reports, schedules meetings, assists with the departmental budget, and makes travel arrangements for the IVP and AVP. The EA develops engagement plans for VIPs in collaboration with the advancement team and across the enterprise.

Primary Duties and Responsibilities include:

  • Manages IVP and AVP's schedules by helping prioritize demands on their time; drafting letters and documents; collecting and analyzing information and initiating communications with internal and external stakeholders.
  • Maintains appointment schedules and calendars by planning and scheduling meetings, teleconferences and travel.
  • Assists with the Advancement budget and all related expenditures.
  • Collaborates with internal staff for talking points and meeting materials.
  • Serves as the IVP and AVP's liaison to advancement staff, Dean's Office, Central Development and other departments as a resource for accurate information while maintaining complete confidentiality and discretion.
  • Organizes and maintains paper and electronic files and address/contact listings.
  • Schedules and coordinates travel arrangements, including developing itineraries and assembling travel packets with meeting briefs and other relevant documentation.
  • Coordinates donor and prospect meetings for the Interim Vice President including scheduling and logistics; collecting materials and enclosures based on known interests and briefings; and ensuring timely and appropriate follow-up.
  • Works with the Advancement Operations team and in the Advance portal to record the IVP and AVP's interactions with alumni and donors including emails, phone calls, visits, and proposals.
  • Assists with the preparation and editing of communications including emails, letters reports, and presentations paying close attention to accuracy, quality and timing.
  • Prepares and disseminates directives and action requests to others on behalf of the IVP and AVP. Monitors deadlines, follows up on delegated tasks, and provides reminders.
  • Manages the Dean's travel as appropriate for advancement related trips including developing and updating itineraries, booking ground transportation, confirming meetings with donors and prospects through the relevant development officers, gathering all relevant briefing materials, and liaising with the Dean's Executive Assistant.
  • Works closely with the IVP, AVP and senior advancement team to support implementation of regular and ad hoc VIP event programming, including Jeffersonian dinners with the Dean, Darden Society events, Leadership Dinners, Campaign, and special donor recognition events. Including staffing events on and off site.
  • Manages expenses by collecting receipts, coding expense reports, and submitting reimbursement requests.
  • Ensures timely payment of office invoices by signing, scanning, and submitted invoices in an efficient manner.
  • Responsible for any other ad hoc projects assigned by the IVP and AVP.

Successful candidates will have a proven track record that includes:

  • Bachelor's degree and two to five years of experience in a fast-paced business or professional environment with customer service or external facing focus.
  • Experience working in a Development Office and/or nonprofit organization including experience working with high-net-worth individuals.
  • Excellent administrative, organizational, computer, and communication skills.
  • Outstanding critical thinking and judgment skills.
  • Ability to multi-task and anticipate needs, discern priorities and meet deadlines with exceptional attention to detail.
  • Proven ability to exercise good judgment and initiative while maintaining confidentiality.
  • Professional demeanor and high level of comfort working with high-profile individuals.
  • Excellent written and oral communication skills.
  • Ability to take initiative and work well in a deadline oriented, fast paced and high pressure environment with superior follow up skills.
  • Advanced proficiency with MS Office, including Outlook, PowerPoint, Word, Excel.
  • Experience with Salesforce CRM and an interest and ability to learn new applications.
