Executive Assistant - Physician Practice Management, Full-time



 

The Executive Assistant will provide secretarial/administrative support directly to a Vice President or a Senior Vice President, exercising confidentiality, tact and diplomacy. Prepares correspondence, reports, presentations, agendas, minutes; may prepare responses to routine correspondence and inquiries. Receives, screens, and directs incoming calls, visitors, mail and email. Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses.

Principal Responsibilities



The Executive Assistant:

  1. Provides secretarial/administrative support directly to a Vice President or a Senior Vice President, exercising confidentiality, tact and diplomacy.
  2. Maintains Executive’s calendar as well as actively participating in setting up meetings for the executive and other team members
  3. Provides office support to the department, including coordination of FedEx, messengers, faxes and check requests, expense reports and office supplies
  4. Maintains the inventory of department materials, including either archiving or destroying outdated materials.
  5. Creates and updates documents, reports, presentations, and correspondence.
  6. Orders materials and through working with outside vendors and SRAlab Purchasing Department.
  7. Assists Executive and other staff members with budgeting and expense management.
  8. Processes staff reimbursements with Accounts Payable.
  9. May assist with the planning and coordination of events.
  10. May submit department timecards.
  11. Performs all other duties that may be assigned in the best interest of the Shirley Ryan AbilityLab including special projects assigned by the Executive.
