Financial Services Administrative Assistant

A Professional who will function as an internal point of contact for Insurance and Investment New Business and post issue requests. The ideal candidate will possess a high level of integrity and confidentiality, work well with others, have a positive attitude, with a proactive mindset. The individual must have the capability to work in a fast paced, multi-faceted office with administrative responsibilities on the operations side. They will work independently and as part of team to provide elite service to the Advisor and the firm.

Job Requirements:

· Assist in the process/workflow of Investment New Business including Brokerage, Fund Direct and Variable Annuities

· Proactively and consistently reaching out on behalf of advisors to accelerate fulfilment of requirements.

· Assist in the processing of Life and Disability applications

· Act as liaison between producer and Home Office to resolve any NIGO items for investment applications

· Order Medical Exams and Attending Physician Statements when needed and follow up until they are completed and submitted to Underwriter

· Provide weekly updates to producers on status of outstanding requirements as needed

· Maintain digital file of notes and status on CRM

· Process initial premium payments

· Process Securities Checks

· Provide occasional assistance for late night commission close

· Work on special projects as assigned

· Participate/Facilitate in trainings to educate producers on best practices for new business to increase productivity and increase retention


· Strong customer service and interpersonal skills

· Organizational skills with strong attention to detail

· Able to work in a collaborative/team environment as well as work independently and make decisions quickly

· Microsoft Office proficiency

· Must be able to prioritize tasks, work under pressure and possess strong time management skills

· Excellent communication skills both, verbal and written

· Willingness to learn and expand job responsibilities

· Experience in the financial securities and insurance industry a plus

· Minimum 1-2 years of administrative experience
