Receptionist/ Administrative Assistant

The Receptionist serves as the information referral center for all residents, families, potential residents, staff, guests, community contacts, and others visiting the community. S/he must be aware of all daily activities, administrative staff, and management company roles and responsibilities and direct or answer questions accordingly. In addition to receptionist duties this position also serves as Administrative Assistant to Department Heads, assisting with special projects and events.

PRINCIPLE RECEPTIONIST DUTIES AND RESPONSIBILITIES

  • Greets visitors immediately upon arrival with confident and poise.
  • Professionally handles all phone calls and routes callers or answers questions in a timely and courteous manner
  • Offers refreshments (coffee, water, etc.) to visitors, where applicable
  • Acts as concierge for residents (calling taxis, handling telephone and/or cable problems, checking newspaper deliveries, etc.)
  • Keeps lobby clean and neat, free of clutter and trash
  • Demonstrates basic understanding of emergency call system and nurse paging system
  • Reports any mal-functioning equipment or repairs for the community and resident apartments to maintenance
  • Assists the Community Sales Team, led by the Executive Director, with sales and marketing programs and initiatives
  • Participates in in-service trainings as required by state regulations

    PRINCIPLE ADMINISTRATIVE DUTIES AND RESPONSIBILITIES
  • Technically savvy with MS Suite, MS Teams, Outlook, Excel Spreadsheets
  • Liaise with other departments within Benchmark Senior Living
  • Prepare letters and other documents, flyers and circulate communications with regard to meetings and other matters
  • Types, assembles, copies, files and otherwise processes data required by the community in an accurate and timely manner
  • Assists with set up of In-Service Training & Orientation of New Hires
  • Manages doctor appointment App for Residents
  • Organizes, coordinates and assists in planning marketing events, including weekend events
  • Assists with scheduling of vehicle transports for residents
  • Appropriately, answer, screen, direct Sales calls.
  • Assists the Community Sales Team, led by the Executive Director, with sales and marketing programs and initiatives
  • Assist Department Heads with projects and administrative tasks.
  • Assists and Works Vaccine Clinics
  • Tracks Covid Testing of associates and results when applicable.
  • Other duties and projects as assigned

SKILLS AND ABILITIES

  • Possesses expert knowledge of telephone system and capable of teaching others
    Demonstrates proficient computer skills (word processing, email, internet, Excel, etc.)
    Maintains awareness of all daily activities (and changes)
    Possesses excellent verbal communication skills

PUBLIC RELATIONS/MARKETING

  • General knowledge of community in order to take advantage of any opportunity to educate the community at large about Benchmark's unique approach to senior living services and to market BSL communities, if an opportunity presents itself, and when appropriate
  • View all associates, home office associates, Executive Director and community leadership team
  • Build relationships with internal and external customers

EDUCATION/EXPERIENCE/LICENSURE- CERTIFICATICATION

  • Bachelor's Degree or 1 to 2 years of administrative experience.
