Administrative Assistant to VPs

About the role:

  • Administrative Assistant to support to the VP of Global Customer Operations, VP of Global Sales, VP of Customer Success & VP of Marketing. 

More about the role:

Provide increasingly complex reactive and proactive administrative support, using professional discernment on the appropriate level of urgency/prioritization needed to complete items, projects and tasks such as:

  • Manage VP calendars
  • Take & distribute meeting notes, assisting with action-item follow ups as needed
  • Make domestic & international travel arrangements & itineraries 
  • Own the end-to-end cycle of expense report & time-off request processing 
  • Draft & design a variety of business communications including emails, policies, reports & presentations
  • Assist with contract review, approval and execution processes
  • Support VPs in meeting major deadlines
  • Partner with the Executive Admin team to influence, implement and deliver a consistent and reliable level of service with the goal of increasing productivity and efficiency as the business scales
  • Make purchases for individuals and teams, including employee gifts 
  • Assist in meeting daily office needs by managing office inventory and supplies and submitting ITS tickets as requested
  • Support the execution of select meetings and events including logistics and vendor relationship management
  • Provide back-up support to other leaders as needed

What we'd like to see in YOU:

  • 6+ years of relevant experience
  • Salesforce experience desired
  • Collaborative approach, with the ability to build and maintain effective professional relationships, with a focus on maturity, integrity, confidentiality, proactive communication and resiliency
  • Strong communication skills (verbal and written), as well as keen observational and active listening skills
  • High level of organization, responsiveness, customer service skills, good judgement, ability to manage multiple, concurrent tasks and a broad understanding of business concepts
  • Ability to apply EQ to decision-making, critical thinking and problem-solving
  • Ability to quickly determine and implement best practices, processes and systems
  • High degree of flexibility in a transformative environment with the ability to take on a wide range of responsibilities 
  • Curiosity and a learning mindset to support continuous growth both personally and for the business
  • Ability to understand company policies and procedures and their application and impact on company operations and success
  • Strong skills in MS Outlook, Word, Excel and PowerPoint and shared collaborative tools such as SharePoint and/or OneDrive for Office 365 or equivalent platform
  • Ability to quickly learn to use new software and technology as needed
