The Opportunity

The Coordinator, Invoice Processing will process invoices between Feeding America, Network Members, Transportation and Donors. Investigate and resolve any and all invoicing issues.

Salary Range: $44,000 o $55,000+ Based on Experience

Responsibilities:

  • Responsible for the accuracy of all produce Purchase Orders, Sales Orders and Receipts. Makes adjustments as necessary.
  • Create invoices for customer billing by analyzing the Original Sales Order, Receipted Records, Purchasing PO and Vendor Bills to facilitate appropriate invoices to be processed by the finance team.
  • Interface with the finance team in analyzing vendor invoices to verify against properly prepared purchase orders and play an integral part in the stewardship of funds expensed.
  • Diligently communicate with customers, donors and other stakeholders to acquire the required paperwork to reconcile transactions, i.e. Passing's and Bills of Lading.
  • Ability to use strong analytical skills to research, interact with internal and external stake holders to facilitate resolution for financial transaction issues and errors.
  • Work with Finance team to capture all invoicing discount. Process encumbered invoices as required.
  • Identify opportunities to implement continuous improvement efforts within the Supply Chain Service team as they relate to the produce program, including improvements to processes, technology and transportation. Effectively manages change.
  • Address and help to resolve member credit line (financial hold) issues.
  • Provide comprehensive customer service to members, donors, suppliers concerning National Produce transactions & transportation concerns.
  • Acts as the main point of contact for all rejected loads. Communicate with the transportation team, customers and donors or FANO donor representative if appropriate to resolve issues. 
  • Maintain ownership of SOPs and data maintenance for the National Produce Program as it relates to billing and invoicing process.

Required Technical Competencies, Experience & Certifications
  • Proficient in Microsoft Office suite.
  • Three to five years of previous billing experience.
  • Transportation billing and issue resolution a PLUS.
  • NetSuite experience 2-3 years a PLUS.
  • A/P - A/R in food banking a PLUS.
