Events & Billing Coordinator



POSITION PROFILE

The Events and Billing Coordinator is an administrative support position for Private Events, Member Events and Finance. You will complete various administrative tasks and other special projects as needed. This is a full-time position and the working hours will typically be Monday through Friday, 9am to 5pm, however, hours may vary depending on the needs of the operations.

DUTIES AND RESPONSIBILITIES:

Administrative:

• Respond to all event inquiries within 24 hours and in an appropriate manner via email, phone and other forms of communication that may be deemed necessary.

• Be an administrative support for Events department's, inventory and order office supplies.

• Complete general admin tasks; i.e., filing, faxing, organizing, answer phone calls, respond to emails, etc.

• Create spreadsheets and presentations.

• Track and follow up on event inquiries in a timely manner

• Assist with contracts and Banquet Event orders (BEO): creating, editing, reviewing, copywriting etc.

• Participate in weekly meetings BEO and AR meetings.

• Assist with maintaining the Events Calendar

• Manage and maintain PE and ME checkbooks with all monthly purchases, receival of goods and services and Invoice processing to Accounting.

• Create all deposit and payment schedules within Caterease for all groups

• Lead weekly AR meetings with Director of Finance and PE Director to reconcile and close all group accounts.

• Post all Wires and check payments and deposits to group accounts according to deposit schedules

• Manage and obtain proper signatures for all revenue and payment adj's and provide finance with all adj backup.

Coordination and Guest Experience:

• Establish and maintain strong client and management relationships.

• Ability to receive and direct visitors.

• Identifies to whom and when to pass on guest complaints, and in a timely manner.

Employee Relations:

• Maintain positive and productive working relationships with all employees and departments.

Maintain a high level of integrity and analytic ability
